About the role

Under direct supervision of the Oncology Director, this individual coordinates front and back office staff, including schedulers and their daily activities. As the main point of contact for physician offices referring patients to the Cancer Center for Medical or Radiation Oncology, you will:

  • Contact patients to schedule appointments and obtain medical records prior to visits
  • Compile all information into the new patient medical record
  • Coordinate all outgoing consults and referrals
  • Serve as the primary contact for Sarah Cannon facilities at LSMC and LRHC for new patient referrals
  • Coordinate High Risk patients and Genetic Counseling appointments for CTMC and LSMC
  • Work with physicians, practice managers, and others to create physician call schedules, CMEs, and vacation schedules
  • Act as liaison between the over-arching practice manager and clinic, assisting with provider PTO, call schedules, and other duties
  • Coordinate scheduling for established medical and radiation oncology patients, including follow-ups, labs, chemotherapy, genetic counselors, financial/nurse navigator, and outside physician consultations and testing (e.g., PET/CT/MRI)
  • Review pre-testing preparation with patients and fax appropriate documentation/orders to receiving departments or facilities
  • Obtain precertification or preauthorization as required by insurance companies
  • Document pertinent information in Mosaiq, such as appointment notes or precept numbers
  • Notify nursing staff, PAS, and medical records of same-day and next-day add-ons
  • Check communication devices regularly (voicemail, email, qcl) to provide timely responses daily

Requirements

  • College-level coursework preferred
  • Minimum 2 years of healthcare office experience required
  • Excellent oral communication and interpersonal skills
  • Demonstrated flexibility to handle multiple tasks with a high degree of accuracy and attention to detail
  • Computer skills required
