Onboarding Training Facilitator
About the role
Wider Circle is a mission‑driven healthcare organization that improves health outcomes for older adults and complex populations by addressing social and clinical barriers to care. The Healthcare Onboarding Training Facilitator will deliver live, video‑based onboarding to new hires across the country, primarily non‑clinical frontline staff such as Care Navigators. The role reports to the Learning & Development team on a contract basis and involves using existing curricula, facilitating sessions, managing logistics, assessing performance, and continuously improving training materials based on field feedback.
Responsibilities
- Facilitate live video‑based onboarding sessions for distributed new hires, covering health screening scripts, intake workflows, technology tools, HIPAA and consent requirements, and escalation pathways.
- Create a welcoming, engaging, participatory learning environment — using role‑play, real‑time coaching, and pacing adjustments.
- Administer and grade final training assessments; provide clear, actionable feedback on homework and practice assignments.
- Serve as the go‑to point of contact for new hires during onboarding — answering questions, troubleshooting confusion, and flagging anyone falling behind.
- Coordinate training cohort schedules with hiring managers and new hires; manage day‑to‑day logistics (calendar invites, reminders, materials distribution, tool setup, attendance tracking).
- Communicate proactively with managers on cohort progress, readiness, and scheduling conflicts.
- Distribute training materials, job aids, and assessments; maintain accurate, audit‑ready completion records.
- Build relationships with hiring managers, solicit feedback, and incorporate it into updates to training curricula, scripts, and materials.
- Take on onboarding delivery for other new hire roles as hiring needs shift.
- Support the wider Learning & Development team with other training program development and delivery as needed (content review, ad‑hoc facilitation, logistics for adjacent programs).
Requirements
- Experience facilitating training in a healthcare, call center, care coordination, or comparable regulated environment — comfortable with HIPAA and compliance‑sensitive content.
- Demonstrated experience delivering live, remote training to new hire cohorts, including role‑play, real‑time coaching, grading assessments, and troubleshooting technical challenges.
- Strong scheduling and coordination skills — able to juggle multiple cohorts, managers, and calendars without dropping details.
- Comfort giving direct, specific feedback on homework and assessments that new hires can act on.
- Excellent written and verbal communication — able to hold a virtual room, explain workflows clearly, and write feedback that lands.
- Instructional design experience — able to suggest or draft improvements to materials and work with subject matter experts to create engaging, interactive training.
- Relationship‑building skills: build trust with managers quickly and solicit honest feedback.
- Organized and detail‑oriented — accurate attendance, completion, and assessment records are essential.
- Comfortable with LMS platforms (TalentLMS) and standard tools like Slack and Google Suite; able to learn Healthie or similar care platforms.
- Ability to work independently and manage your own schedule in a remote, fast‑changing environment.
- Comfortable ramping up on and delivering training for a new role’s curriculum on relatively short notice.
