About the role
Under the direction of the Onboarding Manager, the Onboarding Specialist is responsible for ensuring a smooth and compliant hiring experience by managing and processing all pre-employment requirements. This role focuses on conducting thorough background reviews, verifying documentation, and ensuring candidates meet all regulatory, organizational, and client-specific compliance standards prior to their start date. The Onboarding Specialist serves as a liaison between candidates, hiring leaders, and third-party vendors to resolve discrepancies, monitor progress, and maintain accurate records. By overseeing background processing with attention to detail and timeliness, the Onboarding Specialist plays a critical role in supporting the organization's hiring goals while upholding compliance, quality, and candidate experience.
Responsibilities
- Perform all duties and tasks of the Onboarding Specialist role, as required, and perform other duties as assigned or needed to support the broader TA department
- Monitor and process background check results for clearance; coordinate follow-up on results, if applicable
- Ensure compliance in all tasks and confirm all hiring/regulatory documentation is received and properly maintained
- Follow team standard operating procedures; perform required tasks in accordance with established service level agreements (SLAs)
- Schedule health assessments while providing excellent customer service
- Assist with communication and correspondence with key constituents
- Act as a resource for new hires by providing onboarding information, ensuring awareness of onboarding tasks, and answering questions
- Ensure new hires move through Recruitment and HR system onboarding steps
- Identify potential gaps in minimum requirements, if applicable, and identify and communicate issues or opportunities for efficiency
- Prepare and maintain regular onboarding reports
Requirements
- Bachelor's degree in Human Resources, Organizational Development, or a related field
- Two years of office or administrative experience
- Travel: less than 10% of the time may be required
- Hybrid work schedule: splits time between working remotely and working in the office
- Must be able to commute to Emory University on a flexible weekly schedule based upon business needs
- Residency in the state of Georgia required

- Experience in Human Resources or Recruitment
