Human Resources Onboarding Specialist (Temporary)
Job Responsibilities
- Review, validate, and approve new hire IT tickets and onboarding requests to support timely system provisioning and service-level expectations.
- Initiate and monitor background checks for new hires, contingent workers, and temporary staff, including follow-up on pending documentation, discrepancies, and escalations.
- Coverage onboarding documentation, approvals, tickets, and related tasks to ensure completion that is accurate, compliant, and on time.
- Serve as the primary point of contact for candidates throughout the pre-employment and onboarding process, providing guidance on requirements, first-day expectations, Workday tasks, benefits timing, system access, and orientation schedules.
- Communicate onboarding status, next steps, and welcome information to candidates and stakeholders, while monitoring task completion, resolving issues, and escalating urgent matters as needed.
- Conduct I-9 employment eligibility verification for new hires, review supporting documentation in compliance with federal regulations, and partner with HR and compliance teams to address audit requests or discrepancies.
- Maintain confidentiality and secure handling of employee records and sensitive information throughout the onboarding process.
- Cook up and support executive and senior-level onboarding by arranging meetings, orientation sessions, leadership introductions, and tailored itineraries in partnership with cross-functional stakeholders.
Job Requirements
- A high school diploma or equivalent required; an associate or bachelor’s degree in Human Resources, Business Administration, or a related field preferred.
- 3–5 years of experience in onboarding, HR operations, shared services, or specialist-level human resources roles.
- Knowledge of onboarding processes, employment documentation, background checks, I-9 verification, and HR compliance requirements.
- Experience using HRIS platforms, preferably Workday, and ticketing or service management systems to support onboarding workflows.
- Strong communication, organization, and follow-up skills, with the ability to coordinate multiple onboarding activities and work effectively with candidates and cross-functional partners.
- Strong attention to detail, sound judgment, and ability to handle sensitive information with discretion and professionalism.
Pay
Pay Range: $44,790.00 - $67,185.00 Pay range may be based on a number of factors including market location, education, responsibilities, experience, etc.
About the Role
The HR Shared Services Representative, Onboarding within the Shared Services Organization serves as the primary point of contact for new hires from offer acceptance through their first day, ensuring a seamless onboarding experience. This role coordinates onboarding logistics, background checks, system access, documentation, and cross-functional communication with candidates, hiring managers, IT, staffing agencies, and internal teams to ensure all activities are completed accurately, compliantly, and on time, including support for executive onboarding.
