About the Role
The Onboarding Specialist is responsible for all aspects of hiring and onboarding new employees, as well as existing employee promotions and transfers. This includes managing the process, consistent follow-up, and making independent evaluations and decisions regarding new hires. The role ensures a high-quality candidate experience and a smooth transition for both new and transitioning employees into their roles. This position requires a high level of independent judgment to resolve problems, monitor data integrity, and follow up on outstanding onboarding items.
Responsibilities
- Manage the onboarding experience for hiring managers, internal customers, and candidates.
- Ensure legal compliance with pre-employment and new-hire procedures, including adherence to applicable laws.
- Prepare and send offer letters detailing role expectations and compensation.
- Ensure onboarding documents are completed by candidates in a timely manner.
- Oversee pre-employment background checks, drug testing, and occupational health testing; analyze and resolve any issues.
- Check results daily for pre-employment screenings and update statuses in iCIMS.
- Follow up with background vendors for escalations.
- Review, approve, adjudicate, or escalate background check results; exercise discretion in approving or rejecting candidates.
- Determine when to request a contingent start of employment due to delayed background checks.
- Initiate adverse action for candidates rejected based on background checks.
- Ensure timely completion and auditing of all I-9s with E-Verify.
- Review current processes for efficiency and recommend improvements to enhance legal compliance.
- Participate in the implementation of new systems and processes.
- Maintain positive relationships with new hires via email, text, and phone to ensure timely completion of onboarding.
- Provide weekly updates to the business on new hires in the onboarding process and address hiring managers' questions.
- Communicate details with hiring managers to ensure a positive "first day" experience.
- Ensure compliance with company HR processes and employment laws.
- Act as a gatekeeper for employment commencement, ensuring completion of I-9 forms and other pre-employment requirements.
- Ensure all new hires have a positive and efficient onboarding experience.
- Assign a ‘POINT’ to new hires and notify the Recognition Program lead of the assignment.
- Perform other duties as assigned.
Requirements
- Minimum of four years of experience as an Onboarding Specialist, Recruiting Coordinator, or in a related HR role.
- Prior iCIMS experience strongly preferred.
- Strong analytical skills.
- Solid verbal and written communication skills.
- Proficiency with Microsoft Office.
- Strong organizational skills with keen attention to detail.
- Ability to handle sensitive and confidential information.
- Ability to travel as needed.
