Onboarding Specialist

Careerscape is supporting a client opening for a Remote Entry-Level Onboarding Specialist. This role focuses on coordinating the employee onboarding process, preparing new hire documentation, supporting orientation activities, maintaining accurate personnel records, and ensuring a smooth transition for new employees in a fully remote environment. The Onboarding Specialist will work closely with HR teams, hiring managers, recruiters, and new employees to coordinate onboarding schedules, verify employment documentation, answer questions, and ensure all onboarding requirements are completed accurately and on time. This role is ideal for candidates interested in human resources, employee onboarding, talent acquisition support, or HR administration.
Responsibilities
- Coordinate the end-to-end employee onboarding process
- Prepare and distribute onboarding documents and new hire materials
- Schedule orientation sessions and onboarding meetings
- Verify employment documentation and maintain personnel records
- Assist new hires with onboarding forms and system access
- Respond to onboarding-related questions from employees and managers
- Maintain accurate HR records and databases
- Coordinate with HR, IT, payroll, and hiring managers to ensure a seamless onboarding experience
- Monitor onboarding progress and ensure required tasks are completed
- Maintain confidentiality of employee information
- Support employee engagement and onboarding improvement initiatives
- Perform additional HR and administrative duties as assigned
Requirements
- High school diploma or equivalent required
- Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field preferred
- 0–2 years of experience in human resources, recruiting, administration, customer service, or related roles
- Strong organizational and time management skills
- Excellent attention to detail and accuracy
- Strong written and verbal communication skills
- Proficiency with Microsoft Office, Google Workspace, and HRIS platforms
- Ability to work independently in a remote environment
- Strong interpersonal and problem-solving skills
- Professional, dependable, and confidential mindset
Nice to have
- Internship or entry-level HR experience
- Familiarity with HRIS or applicant tracking systems

Pay
The salary range for this role is $70,000 - $95,000 per year, based on experience, communication skills, organizational abilities, and client hiring needs.
