About the role

Michael Best is seeking an Onboarding Coordinator to support the firm's new hire onboarding process by coordinating onboarding plans, helping new hires move through required pre-employment and first-day activities, and ensuring key steps are completed accurately and on time. This role serves as a primary point of contact for new hires and works closely with HR, HRIS, IT, Recruiting, Payroll, and office-based teams to support smooth, professional, and consistent onboarding experience. This is a highly detail-oriented coordination role that requires strong follow-through, clear communication, and a customer-service mindset. The Onboarding Coordinator helps ensure new hires are welcomed, prepared, and connected to the right resources while maintaining accurate information in systems and escalating issues when needed.

Responsibilities

  • Coordinate onboarding plans for new hires, including tracking required steps, confirming timing, and helping ensure activities are completed before and during the new hire's start.
  • Serve as a point of contact for new hires during the onboarding process, respond to routine questions, provide clear information, and connect individuals with the appropriate HR, IT, Payroll, or office resources.
  • Partner with HRIS, IT, Recruiting, Payroll, and other internal teams to support new hire setup in firm systems, including timely communication of required information and follow-up on pending items.
  • Initiate background checks and other required pre-employment processes, monitor status, follow up on outstanding items, and escalate issues or delays as appropriate.
  • Maintain accurate onboarding records, checklists, and new hire information, with strong attention to detail and confidentiality.
  • Coordinate onboarding communications, reminders, meetings, and logistics to help ensure new hires and internal stakeholders understand expectations and timelines.
  • Help maintain onboarding templates, checklists, and process materials; identify practical opportunities to improve consistency, efficiency, and the new hire experience.
  • Provide responsive, professional, and helpful support to new hires, hiring teams, HR colleagues, and other stakeholders throughout the onboarding process.
  • Support related HR and talent projects as assigned, particularly work that requires strong organization, follow-through, and coordination across teams.

Requirements

  • Associate's or Bachelor's degree preferred; equivalent administrative, HR, recruiting, or professional services experience may be considered
  • 1-3 years of experience in human resources, recruiting, onboarding, administrative coordination, or a related professional office role
  • Experience coordinating multiple tasks, deadlines, or process steps with accuracy and follow-through
  • Experience providing responsive customer service to employees, candidates, clients, or internal stakeholders
  • Comfort working with HR systems, applicant tracking systems, ticketing tools, Microsoft Office, or other business systems
  • Ability to handle confidential information with professionalism and discretion
  • Professional services, law firm, or multi-office experience preferred but not required

Qualifications

  • Strong attention to detail and ability to follow checklists, timelines, and process steps accurately
  • Customer-service orientation and ability to communicate clearly, professionally, and promptly with new hires and internal stakeholders
  • Strong organization and follow-through, with the ability to manage multiple new hires and onboarding activities at the same time
  • Ability to work collaboratively with HRIS, IT, Recruiting, Payroll, and office teams to resolve routine issues and keep onboarding moving forward
  • Sound judgment and discretion when handling confidential employee and candidate information
  • Comfort learning and using HR, recruiting, and business systems to enter information, track progress, and support reporting
  • Ability to identify when an issue needs escalation and communicate status clearly to the appropriate team member
  • Required: Use approved AI-enabled tools responsibly and effectively to improve quality, efficiency, and decision-making, consistent with organizational policies, confidentiality, and applicable laws.
