About the Role

The Office Technician Contract provides secretarial support to a school site, maintains records, compiles and distributes materials and reports, and responds to inquiries from internal and external sources.

Responsibilities

  • Administers first aid and prescription medications to students under the direction of a health care professional, following established guidelines.
  • Assists in developing master schedules to ensure accurate student course and class size requirements.
  • Attends department and in-service meetings to convey and gather required information.
  • Collects payments for events such as fines, fees, and fundraisers to complete transactions and secure funds.
  • Compiles data (e.g., Student Educational Occupation Plans, calendars, work orders, budget reports, student records) to prepare reports, process requests, and provide recommendations.
  • Coordinates projects and activities (e.g., distribution of materials, conference arrangements, travel requirements, proctoring exit assessments) to complete tasks and deliver services in a timely manner.
  • Maintains manual and electronic documents, files, and records (e.g., student transcripts, purchase orders, work orders, time sheets) to provide up-to-date information in accordance with administrative and legal requirements.
  • Monitors inventory of supplies and materials to ensure availability.
  • Monitors student behaviors in hallways, auditoriums, and other areas to maintain a safe and positive learning environment.
  • Prepares correspondence, reports, and materials (e.g., awards, report cards, class schedules, letters, memorandums, minutes, charts, periodic and ad-hoc reports) to document activities and convey information.
  • Processes documents and materials (e.g., schedule/class changes, student registrations, time sheets, work orders, travel reimbursements) to ensure accurate historical documentation.
  • Researches assigned topics (e.g., student record discrepancies, policies, education codes) to provide accurate information for department operations.
  • Responds to inquiries from parents, district staff, schools, government agencies, the public, and students to facilitate communication and provide direction.
  • Reviews the release of students to authorized parents or guardians to ensure student safety.
  • Schedules activities (e.g., appointments, meetings, travel reservations, facility usage) to make necessary arrangements for administrators.
  • Verifies student-related data (e.g., grades, information, coursework) to ensure the accuracy of student records.
  • Performs other related duties as assigned to ensure the efficient functioning of the work unit.

Requirements

  • Job-related experience is desired.
  • Must be at least 16 years of age.
  • High school diploma or equivalent.
