What You'll Do

  • Create a Welcoming First Impression
  • Greet visitors, clients, and team members with professionalism and warmth.
  • Answer and direct incoming phone calls to the appropriate departments and team members.
  • Maintain a clean, organized, and inviting reception area.
  • Manage visitor check-ins and support office security procedures.
  • Aid with scheduling meetings, preparing conference rooms, and coordinating office calendars.
  • Handle incoming and outgoing mail, deliveries, and packages.

Support Data Processing & Administrative Operations

  • Accurately enter and maintain information in company systems.
  • Review records and documents to ensure accuracy and completeness.
  • Process routine forms, transactions, and requests in a timely manner.
  • Aid with preparing reports, summaries, and other administrative documents as needed.

Keep the Office Running Smoothly

  • Monitor office supply inventory and help ensure essential items are always available.
  • Help maintain shared spaces, including meeting rooms, break areas, and common spaces.
  • Support the planning and coordination of team meetings, company events, and employee celebrations.
  • Aid with internal communications and help route requests to the appropriate team members.

Qualifications & Skills

  • Strong communication skills with professional phone and customer service etiquette.
  • Proficiency with Microsoft Office applications, including Word, Excel, and Outlook.
  • Comfortable using office technology such as phones, printers, scanners, and other office equipment.
  • Excellent organizational skills with the ability to prioritize tasks and manage multiple responsibilities.
  • Strong attention to detail and commitment to accuracy.
  • Ability to work independently while also collaborating effectively with a team.
  • Professional, approachable, and service-oriented attitude.
  • Able to handle confidential information with discretion and integrity.
  • Proactive mindset with a willingness to take initiative and support changing business needs.
  • Adaptable and able to thrive in a fast-paced environment.
