What You'll Do
- Create a Welcoming First Impression
- Greet visitors, clients, and team members with professionalism and warmth.
- Answer and direct incoming phone calls to the appropriate departments and team members.
- Maintain a clean, organized, and inviting reception area.
- Manage visitor check-ins and support office security procedures.
- Aid with scheduling meetings, preparing conference rooms, and coordinating office calendars.
- Handle incoming and outgoing mail, deliveries, and packages.
Support Data Processing & Administrative Operations
- Accurately enter and maintain information in company systems.
- Review records and documents to ensure accuracy and completeness.
- Process routine forms, transactions, and requests in a timely manner.
- Aid with preparing reports, summaries, and other administrative documents as needed.
Keep the Office Running Smoothly
- Monitor office supply inventory and help ensure essential items are always available.
- Help maintain shared spaces, including meeting rooms, break areas, and common spaces.
- Support the planning and coordination of team meetings, company events, and employee celebrations.
- Aid with internal communications and help route requests to the appropriate team members.
Qualifications & Skills
- Strong communication skills with professional phone and customer service etiquette.
- Proficiency with Microsoft Office applications, including Word, Excel, and Outlook.
- Comfortable using office technology such as phones, printers, scanners, and other office equipment.
- Excellent organizational skills with the ability to prioritize tasks and manage multiple responsibilities.
- Strong attention to detail and commitment to accuracy.
- Ability to work independently while also collaborating effectively with a team.
