Working Hours

Monday-Friday 8am - 4:30pm

Essential Duties and Responsibilities

  • Document Management
    • Document management and record-keeping
    • Shredding confidential and outdated documents
    • Filing and retrieving documents as needed
    • Processing incoming mail for project managers
    • Converting files to different formats (Adobe PDF, etc.)
    • Maintaining and updating the client database (Lighthouse – Document Repository)
  • Mailroom and Office Support
    • Serving as a backup for the mailroom
    • Preparing and coordinating mail drops and deliveries
    • Receiving and distributing incoming packages and correspondence
    • Aiding with conference-related shipments and other special projects
  • General Office Tasks
    • Performing light housekeeping duties
    • Lifting and moving items up to 40 lbs
    • Supporting various administrative functions
  • Administrative Duties
    • Taking on additional responsibilities and tasks as needed
    • Supporting front office and office manager duties
    • Demonstrating flexibility and a proactive approach to meeting dynamic organizational goals
  • QA Specialist (future add on responsibility)
    • Assisting QA Manager with quality reviews of documentation
    • Assisting QA Manager with maintaining Legal Inc. documents and processes

Qualifications

  • 1–3 years of office administration or document management experience
  • Previous experience in a law firm preferred but not required
  • Proficiency with Microsoft Office Suite, Adobe PDF, and document management systems/databases
  • Strong organizational skills with attention to detail and accuracy
  • Effective written and verbal communication skills; ability to handle confidential information professionally
  • Flexible, proactive, and able to manage multiple priorities in a fast-paced environment
  • Ability to lift up to 40 lbs and perform light housekeeping/office support tasks

Compensation

$24/hour
