Responsibilities

  • Act as a role model for all staff in providing friendly, hospitable, and compassionate customer service to all visitors of the agency
  • Hire, supervise, and evaluate qualified staff and ensure they are trained to carry out their responsibilities; document concerns, provide feedback, and take personnel action as necessary
  • Oversee office procedures to ensure compliance with agency policy and efficiency; evaluate and recommend improvements
  • Ensure universal precautions are utilized when cleaning or addressing bodily fluids and accidents; monitor inventory of related supplies
  • Monitor local inventory of basic office supplies and equipment; request replenishment as necessary
  • Communicate relevant policies and procedures to support staff and monitor compliance
  • Manage or delegate distribution and collection of keys for assigned office(s) as Key Administrator
  • Report software, hardware, and office equipment malfunctions to IT staff or vendors and facilitate repair
  • Maintain electronic health record (EHR) auto-dial system, ensuring clients have the option to opt out
  • Evaluate and approve invoices for services rendered
  • Accept and process client complaints in the absence of the Quality Manager and Chief Operating Officer
  • Maintain a secure and safe environment for staff and clients; present concerns to supervisor and/or safety committee
  • Ensure buildings and grounds are kept organized, clean, and professional; refer maintenance needs to Facilities Manager
  • Serve on committees and work groups as requested
  • Coordinate efficient and practical use of office space to ensure program continuity
  • Maintain and advance knowledge and skills through training and review of pertinent materials
  • Adhere to PMHS policies, procedures, and ethical codes; comply with Pawnee Code of Conduct
  • Provide administrative support to Chief Operating Officer as assigned
  • Perform other reasonably related duties as assigned by supervisor or management
  • Same-day travel to satellite offices may be required

Requirements

  • High School diploma or equivalent
  • 3 years of clerical experience, preferably in a medical office
  • Post-secondary education in office administration may substitute for 2 years of experience
  • Strong knowledge of Microsoft Word and Excel
  • Strong oral and written communication skills in English

Preferred Qualifications

  • Supervisory experience in a customer service environment
  • Customer service training or experience
  • Mechanical aptitude for office equipment operation and basic building/grounds upkeep
  • Multi-lingual skills

All employees will be required to submit to and pass a background check and drug screening.

Pay

$57,000 annually
