As an Office Specialist, you will play a vital role in supporting the team by handling phone inquiries, organizing documents, and assisting with certification-related activities in a dynamic and collaborative work environment.
Responsibilities
- Answer and route phone calls to the appropriate person or department
- Perform accurate and timely data entry
- Manage incoming and outgoing mail, including overnight deliveries
- Process and organize returned mail; contact customers as needed via phone or email
- Assist in the issuance of vital records, such as birth, death, marriage, and dissolution certificates
- Learn and follow relevant policies and procedures
Requirements
Minimum Qualifications:
- Coursework/training in administrative/office support functions, procedures, and methods including the operation of personal computers and office equipment; or areas related to the programs and functions of the employing agency.
- OR Experience in customer service or public contact; or applying criteria/regulations; and/or performing administrative/office/secretarial support work including use of personal computers and office equipment.
Preferred Qualifications:
- In-person customer service experience in a public-facing or fast-paced environment.
- Office experience in public service, including data entry, database use, and handling confidential information.
Skills
- A strong understanding of clerical and secretarial tasks, including recordkeeping, database management, and report preparation.
- Knowledge of customer service practices and relevant policies and procedures.
- Proficiency in grammar, punctuation, and composition for business communications.
- Skill in using word processing and data management software.
- Ability to effectively communicate both in writing and verbally.
