Responsibilities
- Resolve Office Service related requests (e.g., hot/cold requests, Konica Copy/Print – Multi Function Device service repairs, Aramark service repairs).
- Organize and manage general office supplies and pantry inventories (e.g., WB Mason ordering of general office supplies, Aramark pantry supplies).
- Update Serraview to provide monthly seating assignment updates, coordinate office moves, and furniture modifications as needed or as directed by Facilities Management; assist supervisor/manager/director with local space planning as required.
- Handle security access modifications and maintain the security access database (add new hires, remove terminations, and provide access reports when required).
- Coordinate local Fire Life Safety efforts for the office (including CPR/AED training, First Responder Training, and monthly AED inspections).
- Liaise with facility vendors and the local Property Management office as needed.
- Process daily USPS mail (outbound/inbound) and perform general administrative activities (e.g., express mail services, filing).
- Address staff (facility-related) concerns and vendor inquiries by directing them or providing information to the appropriate parties; escalate to management when necessary.
- Reserve and coordinate conference room schedules as needed (e.g., Town Hall meetings, special events).
- Complete I-9 forms in Workday in a timely manner for all new hires (within 24-48 hours). Location-specific (excludes Atlanta, LA, NY).
- Contribute to special projects as needed (e.g., Records Management Week, branding initiatives, pantry equipment upgrades, business continuity, operations SOP documentation, after-hours work, additional duties as assigned).
- Explore professional development opportunities (e.g., training classes, certification programs) to expand your knowledge as it relates to facilities/operations and office services.
