About the role

The Office Services and Operations Coordinator provides administration, secretarial, and clerical support to maintain an efficient office environment. This role handles office services tasks across various departments, including special projects assigned by management.

Responsibilities

  • Coordinate facilities maintenance for Van Nuys and Torrance locations.
  • Manage mail operations: collect and distribute correspondence, copy information, and scan mail to remote employees.
  • Oversee postage machine orders, UPS, messenger, and mail services, including checks and balance.
  • Maintain office supplies by checking inventory, anticipating requirements, placing orders, verifying payments, confirming customer orders, stocking items, and delivering supplies to workstations.
  • Provide new hire supplies.
  • Assist with reception duties, including answering questions and forwarding messages.
  • Restock supplies in office kitchens.
  • Perform miscellaneous tasks in collaboration with the accounting department.
  • Track licensing for the agency and employees.
  • Perform other duties and special tasks as assigned by management.

Requirements

  • Minimum of two years of administrative support experience.
  • Computer skills and working knowledge of basic accounting software programs.
  • Highly organized, detail-oriented, and capable of multitasking.
  • Willingness to learn and take initiative.

Qualifications

  • High school diploma; completed college courses in accounting preferred.
  • Strong written and verbal communication skills.
  • Strong follow-up skills and results-oriented mindset.
  • Customer service orientation and sound problem-solving skills.
  • Ability to prioritize and complete multiple tasks simultaneously.
  • High integrity and ability to work under pressure while meeting deadlines.
  • Ability to work independently and collaboratively within a team.

Physical Requirements

  • Essentially sedentary work with occasional walking, standing, and lifting/carrying up to 20 lbs.
  • Duties are normally performed in a climate-controlled office environment.

Pay

The applicable base salary range for this role is $35,360 to $67,800. The base pay offered will be determined based on factors such as experience, skills, training, location, certifications, and education. This position may also be eligible for performance-based incentives.
