About the role
Your major responsibilities include maintaining supply inventory (e.g. office supplies, business cards, snacks) including processing purchase orders as appropriate.
Responsibilities
- Provide responsive, high-quality administrative assistance with a variety of office services tasks with direct responsibility for duplicating services for both small and large client & internal meetings;
- Assisting with mail/UPS deliveries;
- Covering office sweeps and assist with conference room set up/breakdown;
- Seamless backup support for all other Office Services positions as necessary;
- Working with the team on multiple aspects of facilities including operating equipment and assisting with office moves.
Requirements
- This requires working closely with teams to understand and fulfill all aspects of a request to distribute the highest-quality product for their meeting or event.
- You will oversee the mailroom, including processing/sorting mail, preparing packages for shipment, and maintaining mailroom supplies.
- You will also ensure security and confidentiality within the office, including liaising with building security and coordinating disposal of confidential documents.
- You’ll have the opportunity to work closely with the office services team on back-up support including reception, room booking, kitchen, and facilities.
- This includes though is not limited to operating the room scheduling system; coordinating catering/equipment needs with other department staff members as necessary; and handling catering services for the office (e.g., office/client meetings, office functions).
- You may also partake in special projects or need to run miscellaneous errands as assigned by your manager.

Skills
- High School diploma required, University degree preferred
- 1+ years in a related position in a corporate or professional environment would be an advantage
- Ability to perform multiple tasks effectively with minimal supervision
- Strong interpersonal skills
- Excellent professional demeanor
- Willingness to take initiative and rapidly problem solve issues as they arise
- Possess high quality standards, a commitment to completing the task within the deadline, and the ability to work under pressure
- Ability to move heavy equipment and furniture
- Technical knowledge of office machines and equipment
