Office Service Assistant: Offender Management services #00201
Receives incoming mail and faxes. Opens and date stamps all incoming documents the same day received. Looks up designated incoming mail on the VACORIS database to determine the correct recipients of the documents, and accurately disseminate the documents on the date received.
Provides back-up support for Court of Appeals orders and file or disseminate based on the ruling. Monitors the Court and Legal email box on a rotation basis to ensure that all incoming emails are printed, stamped and researched the same day in order to be disseminated accordingly. Monitors and handles the outgoing hot faxes (legal updates) to the jails.
Completes statistical and administrative reports on the number of letters received processed and remaining on hand. Classify and count all incoming mail received daily and weekly for statistical reports.
Engages in constructive dialogue with supervisors. Relates instructions and feedback of supervisors to personal knowledge, skills, and abilities. Acknowledges and follows through on coaching and/or instruction related to performance correction, enhancement, and/or development. Completes additional assignments and duties as assigned to ensure smooth operation of the work unit and agency.
Minimum Qualifications: Basic knowledge of the Code of Virginia as it pertains to criminal sentencing. Ability to work independently and analyze and resolve problems with general guidance from supervision. Ability to adapt to changes in procedures, priorities and the automated system. Establish and maintain effective working relationships inside and outside the work unit. Demonstrated ability to communicate effectively orally and in writing. Working skills in operating automated equipment. Mathematics and calculation skills. High School Diploma or equivalent.
Additional Considerations
Ability to comprehend and interpret complex laws, legal documents and policies. Demonstrated knowledge of inmate based practices. Experience in a field related to criminal justice, especially in criminal procedures and records processes.

Hiring Range: $34,087.00 - $44,159.00 Pay Band: 2
