Job Summary
Generally responsible for assisting Resource Leaders and Project Managers with all aspects of administrative duties. This work will be performed under general supervision.
Primary Responsibilities
- Managing the application, renewal and tracking of Professional Engineer licensing.
- Application, renewal and tracking of Company Certificates of Authorization.
- Preparation of proposals.
- Completing clerical and administrative tasks and errands as requested by project managers, resource leaders and management.
- Providing back-up support for front desk reception, incoming phone calls and mail collection and distribution.
- Registering Company teammates for conferences and exhibits and assuring that displays, promotional items, and marketing materials are delivered and set up as needed.
- Scheduling participants for company sponsored events and assuring that all arrangements are made.
- Obtaining quotes and/or scheduling travel, conference calls and video conferences.
- Assisting in meeting scheduling and ensuring proper arrangements are made.
- Preparation and distribution of Resource Leader/Project Manager meeting notes as needed.
- Assisting in coordinating company events including holiday gatherings, community involvement, and retreats.
- Execution of special projects.
- Providing scanning, copying, faxing, and filing services for Resource Leaders and Project Managers.
Ideal Background
Education: High School Diploma or equivalent is required. Advanced coursework is highly preferred.
Experience: This position requires a minimum 5 years of relevant experience in administrative and clerical services in a professional environment.
