About the role
We're looking for an Office & People Operations Coordinator to keep our office running and own the employee experience from first interview through last day. This is a highly visible, in-person role: you'll be the first face visitors see, the person new hires meet on day one, and the go-to for everything from a broken HVAC unit to a new hire's paperwork. It suits someone organized and proactive who can move between facilities logistics and confidential HR work in the same hour. Contoro is a fast-growing company. Key Responsibilities
- Office & Facilities
- Run day-to-day office operations and keep the workplace organized and functional
- Own vendor and building-management relationships, facility repairs, and office maintenance
- Manage supplies, equipment, snacks, mail, and deliveries; support procurement as needed
- Greet visitors and coordinate company events, lunches, and team activities
- Onboarding & Offboarding
- Own onboarding from offer acceptance through day one in our HR system
- Set up system access, workspaces, and equipment; run office tours and orientation
- Complete employment eligibility verification and maintain accurate employee records
- Coordinate offboarding, including documentation, access, and equipment return
- Recruiting Coordination
- Coordinate interviews, phone screens, and candidate communication in our applicant tracking system
- Keep candidates, hiring managers, and interviewers aligned throughout the process
- Support offer letters and pre-employment documentation
- HR & Administrative Support
- Answer employee questions on policies, benefits, payroll, and HR processes
- Support benefits enrollment and keep HR policies and handbooks current
- Manage correspondence, company records, and internal communications
- Provide administrative support to the CEO and broader team, and assist with special projects
Qualifications
- High school diploma required; bachelor's degree preferred
- Experience as an office manager, administrative assistant, HR coordinator, or in a related role
- Proficiency in MS Office (Word, Excel, PowerPoint)
- Excellent time management, organization, and prioritization skills
- Excellent written and verbal communication skills
- Sound judgment and discretion handling confidential employee information
- Available onsite Monday through Friday, 8:00 AM – 4:00 PM
Nice to Have
- Experience with an HRIS (Rippling or similar) and an applicant tracking system (Ashby or similar)
- Experience with spend management or recognition platforms (Ramp, Nectar, or similar)
- Experience with Atlassian tools (Confluence, SharePoint)
- Prior HR or recruiting coordination experience at a startup or high-growth company
- Bilingual in Korean, Spanish, or Chinese
