Key Responsibilities
Office Operations & Facilities:
- Conduct daily walkthroughs to ensure the space is clean, safe, and fully operational.
- Manage and track inventory of office supplies, pantry items, and decorative elements.
- Maintain workspace assignments and seating charts; create and update nameplates.
- Clock in with building management and vendors for maintenance, repairs, and service needs.
- Evaluate alternative providers and support necessary change management.
- Schedule freight elevator for moves, deliveries, and project work.
Reception & Visitor Experience:
- Greet and assist visitors, answer inquiries, and create a positive first impression of Corient.
- Provide hospitality services (e.g., water, coffee) and assist with coats and luggage.
- Respond to and direct incoming calls and emails professionally.
- Maintain visitor management systems and issue badges in compliance with security protocols.
Employee Support & Onboarding:
- Aid HR with onboarding by coordinating building access, office orientation, and workstation setup.
- Manage the Workplace Request Log and respond promptly to inquiries.
- Oversee mail, deliveries, and shipping services.
Event & Culture Coordination:
- Support office events and engagement activities, including booking rooms and managing logistics.
- Ensure all deliveries and events comply with building insurance and reservation requirements.
- Help maintain an environment that reflects company values and enhances employee experience.
Safety, Security & Compliance:
- Monitor adherence to building access protocols and visitor management.
- Support emergency procedures, drills, and safety programs.
- Check fire extinguishers, exit signs, AEDs, and ensure exits remain clear.
Vendor & Technology Coordination:
- Manage vendor relationships, including cleaning and maintenance services.
- Process Certificates of Insurance (COIs) for vendors and contractors.
- Maintain office equipment (printers, copiers, AV systems) and coordinate IT troubleshooting.
Financial & Reporting:
- Track office expenses, supply purchases, and vendor invoices.
- Provide updates on occupancy, space needs, and operational issues.
Special Projects:
- Assist with onsite moves, relocations, and space updates.
- Support business continuity during weather events or operational disruptions.
Qualifications & Requirements
High school diploma or equivalent (required); associate or bachelor’s degree preferred.
Ability to work on-site in the office five (5) days per week.
Proven experience in office management, hospitality, or administrative roles.
Strong organizational, communication, and multitasking skills.
Proficiency in Microsoft Office Suite and visitor management systems.
Ability to handle AV setup and basic IT troubleshooting.
Professional appearance and attention to detail.
This position is exempt and is paid according to the laws of the State of New Jersey. The pay range for this position is $27 - $32 per hour. We are required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.
Physical Requirements
This position requires the physical capabilities to work in an office environment, which may include prolonged periods of sitting at a desk and working on a computer. Corient seeks to make reasonable accommodations that enable individuals with disabilities to perform essential duties when possible. This position may require the ability to lift up to 15 pounds. This position is required to work onsite 4 days per week.
U.S. Eligibility Requirements
Must be 18 years of age or older.
Must have unrestricted work authorization to work in the United States.
