Responsibilities
- Prepare customer invoices, record incoming and outgoing financial activity, and maintain accurate bookkeeping records across projects and office operations.
- Manage accounts payable by reviewing vendor bills, entering payment details, and keeping weekly invoice processing on schedule.
- Serve as a key point of contact for office and client communication, responding effectively and helping resolve concerns with tact and care.
- Auxiliary support for accounts receivable functions by tracking outstanding balances, monitoring aging accounts, and helping keep collections organized.
- Process project-related agreements and update job costing records to ensure expenses are properly assigned and documented.
- Reconcile bank activity and financial records regularly to maintain clean and reliable accounting data.
- Utilize QuickBooks and Excel extensively to organize information, build spreadsheets, and support day-to-day reporting needs.
- Assist with a variety of operational and administrative tasks in a small team environment, shifting priorities effectively as business needs change.
Requirements
- At least 3 years of experience in bookkeeping, office management, or a similar accounting-focused administrative role.
- Hands-on experience with full-charge bookkeeping, including accounts payable, accounts receivable, and bank reconciliations.
- Working knowledge of QuickBooks and confidence using Microsoft Excel, including formulas and spreadsheet management.
- Experience tracking job costs, processing invoices, and maintaining accurate financial documentation.
- Strong multitasking skills with the ability to manage several priorities at once in a fast-paced office setting.
- Customer service skills with the ability to communicate professionally and help de-escalate issues when needed.
- Comfort working fully onsite Monday through Friday from 8:00 a.m. to 5:00 p.m.
- Strong attention to detail, sound organizational habits, and confidence using business software and digital files.
