About the role
We are looking for an Office Manager to join our LA office. You will be the first point of contact for anyone visiting the office. You help keep the office organized and help support the team with ad hoc projects.
Responsibilities
- Manage the daily opening of the office, ensuring the space is fully prepared and welcoming for staff each morning
- Act as the primary face of the agency, maintaining a consistent front-desk presence to warmly receive guests, manage deliveries, and answer the main phone line
- Maintain a clean, organized, and highly presentable office environment for an average of 50+ daily in-house employees and visitors
- Oversee inventory and budgets for general office supplies, equipment, and kitchen/food stock
- Serve as the primary liaison with property management and building contacts to resolve facilities issues and collaborate on new office projects
- Provide dedicated Executive Assistant support to company partners and C-suite executives, including managing complex calendars, booking travel, and making reservations
- Execute administrative tasks such as submitting timesheets, ordering corporate gifts, and coordinating catering for internal or client meetings
- Collaborate with office managers across other agency locations to align on best practices
- Oversee scheduling for all shared meeting rooms and track the internal "out of office" calendar
- Proactively monitor shifting project needs and communicate updates across all staff levels to keep daily schedules running smoothly
- Plan and execute key agency events, including the annual holiday party, employee birthday celebrations, and team outings
- Partner with the internal Social Committee to drive agency culture and foster a strong sense of community
- Draft and send engaging internal communications (e.g., weekly lunch emails, client-in-office notifications, and happy hour reminders)
- Facilitate the onboarding process for new hires by preparing their physical workstations and updating office directories
Requirements
- A confident and engaging people person
- Strong organization and planning skills
- Experience in an office assistant/admin role; phone skills a major plus
- An eye for reducing clutter and keeping the overall office looking great
- Calm and tactful under pressure
- Professionalism, poise, and diplomacy to take on difficult issues
- Discretion about private and confidential matters
- Event/party planning experience a plus
- Problem solver who is eager to help out and doesn't mind random requests
