About the role

This role is integral to the Office & Facilities, Vendor & Supply Management, Onboarding & Offboarding, Compliance & Risk, and Operational Excellence teams. You will be responsible for maintaining the office environment, managing vendor relationships, overseeing onboarding and offboarding processes, ensuring compliance with labor laws, and continuously improving operational efficiency.

Responsibilities

  • Maintain the office environment, including vendor and supply management, mail and shipping, and visitor and guest coordination.
  • Own the in-person operational aspects of the employee lifecycle, coordinating with People Ops and IT on the rest, ensuring each new hire's first day is welcoming and well-prepared.
  • Support employer compliance, labor law filings, and requirements, coordinating with Finance and external partners on filings and deadlines.
  • Maintain strong documentation and follow-through, including accurate records, current checklists, and clear handoffs between People Ops, IT Ops, and Finance Ops.
  • Continuously raise the bar for how the organization runs as it grows, making real decisions and owning outcomes rather than tasks.

Requirements

  • 3+ years of experience in office management or operations, preferably at a startup during periods of growth.
  • Experience across the employee lifecycle, including onboarding, offboarding, and access management.
  • Working knowledge of employer compliance obligations, state registrations, filings, labor law requirements, and government portals.
  • Fluency with HRIS, IT, and finance platforms such as Rippling, Google Workspace, Slack, 1Password, and expense tools.
  • A documentation-first instinct and the discipline to keep records, checklists, and inventories accurate and current.
  • A builder's approach: designing processes, documenting them, and taking on the work that sits between defined roles.
  • A sharp attention to detail and a habit of resolving issues before they escalate.
  • The initiative to see what needs doing and do it, without waiting to be asked.

  • Ability to handle ambiguity and adapt to changing priorities.
  • Proven ability to build and maintain strong relationships with vendors and external partners.
  • Experience with regulatory compliance and labor law requirements.
