About the role

The Office Manager coordinates and supervises clerical support staff, manages requisitioning, procurement and delivery of office supplies, liaises with various divisions, monitors disbursements, and acts as a liaison for multiple systems.

Responsibilities

  • Clerical Support Staff: Coordinate and supervise clerical support staff, WEP, Wildcat, and temporary agency staff involved in APS Borough office services.
  • Equipment and Supplies: Coordinate the timely ordering and delivery of required equipment and supplies for the Borough Office.
  • Liaison: Liaise with Special Services/Administrative Services Division, HRA Office of Procurement services, and GSS to facilitate procurement of supplies and equipment.
  • Disbursements: Monitor disbursements for APS clients, maintain statistics, and prepare monthly reports.
  • Payroll: Disburse paychecks for APS Borough Office staff, prepare payroll tracking sheets, and verify information against control data.
  • Leave Requests: Oversee leave requests, ensure they are correct and complete, and forward them to Special Services/Personnel Office.
  • Facilities and Equipment: Liaison with APS Field Operations Central Office for facility issues and security device installations.
  • Expense Claims: Review and prepare employee expense claims for DAPAR.
  • Inventory Control: Conduct audits of office equipment, supplies, and stationery, and prepare control reports.
  • Closed Cases: Coordinate the collection and compilation of closed cases for storage.
  • System Management: Assist with system management tasks, request passwords, and train staff on system screens.

Requirements

  • Education: A baccalaureate degree and three years of satisfactory full-time progressively responsible clerical/administrative experience, or an associate degree and four years of experience, or a four-year high school diploma and five years of experience, or equivalent combination of education and experience.
  • Experience: One year of administrative or supervisory experience.
  • Disability Consideration: Eligible for the 55-a Program.

Qualifications

  • Minimum Qualifications: Baccalaureate degree, associate degree, or four-year high school diploma with relevant experience.
  • Education Substitution: Up to 3.5 years of experience may be substituted for education.
