Office Manager

Key Responsibilities

  • Oversee the day-to-day operations of our headquarters office, supporting a growing team of approximately 50 employees.
  • Maintain a professional, welcoming, and organized office environment, including shared workspaces, kitchens, conference rooms, and common areas.
  • Manage office supplies, equipment, furniture, mail services, shipping and receiving, and vendor relationships while monitoring costs and inventory.
  • Serve as the primary point of contact for building management, service providers, and facility vendors to coordinate office maintenance and improvements.
  • Cook up office moves, workspace setups, and onboarding logistics in partnership with IT and other internal teams.
  • Manage the company's nearby corporate apartment, including maintenance, supplies, cleaning services, and vendor coordination.
  • Partner with the Health and Safety team to help maintain a safe, secure, and compliant workplace.
  • Cook up meetings, interviews, employee events, office activities, and other special projects from planning through execution.
  • Prepare conference rooms, coordinate catering, and ensure meeting technology is ready for both in-person and virtual meetings.
  • Welcome employees, visitors, candidates, and clients while providing a positive first impression of INTERA.
  • Aid in employee travel arrangements, including hotel and rental car reservations, as needed.

Required Qualifications

  • 2-4 years of experience in office management, workplace operations, administrative support, or a leadership role in hospitality or a service-oriented environment.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) and Adobe.
  • Excellent interpersonal, verbal, and written communication skills.
  • Self-motivated with the ability to work independently while collaborating effectively with employees across the organization.
  • Strong organizational and time-management skills, with the flexibility to adapt to changing priorities.
  • Strong critical thinking, problem-solving, and decision-making skills, with a commitment to continuous process improvement and maintaining confidentiality.
  • Comfortable performing a variety of physical and hands-on tasks, including setting up meeting and event spaces, transporting office supplies and materials, and supporting the day-to-day needs of an active office environment.
