Job Responsibilities
- Respond to job leads in a timely manner
- Cooking and serving meals
- Coordinating the schedule and material ordering for multiple craftsmen and projects
- Handling customer service issues as they arise
- Answering phones, reviewing inbound emails, responding to customer calls and online leads in a timely manner
- Keeping Field staff updated on schedule changes in the office and communicating schedule adjustments as needed
- Partnering with owner on hiring, training, and evaluating the craftsmen
- Working with field manager to ensure adequate new craftsmen shadowing assignments prior to assigning craftsmen solo projects
- Utilizing our dispatching & schedule management software
- Returning customers' calls as needed and following up with past customers
- Developing and leading AHS Jersey Shore "Safety Team" and ensuring safety metrics are tracked and the safety manual is kept updated
- Aiding the owner on other duties as assigned
- Building positive relationships with leader, office staff, craftsmen, customers, sub-contractors, and suppliers
- Staying current on latest software and AHS best practices for office to drive process efficiencies
- Auditing job invoices and paperwork to ensure full billing, including accurate labor hours, package prices, and materials costs
- Driving high bookings rate and labor hours per day to maximize income for craftsmen and profit
- Ensuring account receivable are kept at below target level
- Performing paperwork and filing duties
- Aiding in solving operational logistics to ensure a smooth customer journey
- Writing thank you notes as follow-up to each work order
Qualifications
- High school diploma or GED
- 3-5 years of administrative assistant/scheduling experience
- Comfortable with sales
- Adaptive to technology
- Excellent verbal and written communication and interpersonal skills
- The ability to interact effectively with both customers and our craftsmen
- A strong solution-focused attitude and quick on your feet
- A basic understanding of sales and marketing and the differences between the two (a plus)
- QuickBooks Online or other accounting knowledge (a plus)
- Customer-facing experience (a plus)
- ServiceTitan experience is a major plus
