About the role

Under general supervision of the Senior Manager, OTP Operations, this position provides front-office and routine administrative support for the Office of the President. This position assists the President’s Scheduler and Events Planner with scheduling and coordinating events, contacting guests and campus visitors, securing Presidential Event Form and parking.

Responsibilities

  • Serves as the first point of contact for the Office of the President and University Relations and Development, directing callers and visitors to the appropriate individuals, departments, and campus areas.
  • Facilitates work on special projects and initiatives and provides administrative support duties.
  • Assists the President’s Scheduler and Events Coordinator in scheduling and coordinating events, contacting guests and campus visitors, securing Presidential Event Forms and parking.

Requirements

  • Equivalent to four years of administrative support experience required.
  • Bachelor’s degree is preferred and can be substituted for two years of experience.
  • Ability to communicate with an ethnically and culturally diverse campus community.
  • Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures.
  • Ability to contribute to a positive university experience for each and every student and assist in achieving the university's commitment to a "vision of excellence."

  • Ability to analyze complex situations, resolve issues independently, or appropriately delegate matters in accordance with OTP guidelines.
  • Ability to thrive in a fast-paced and highly sensitive environment, effectively managing multiple priorities while collaborating with OTP team members and partners across the University.
  • Exceptional oral and written communication skills, enabling the building and maintaining of positive relationships with a diverse range of stakeholders, including executive leaders, dignitaries, civic organizations, and nonprofit agencies.
  • Highly proficient in office technology and software applications, including Microsoft Office Suite (Excel, Word, PowerPoint), Adobe products, electronic signature platforms, Outlook, Microsoft Teams, and Zoom.
  • Ability to prepare professional correspondence, reports, presentations, agendas, meeting materials, and web content, as well as coordinate complex scheduling needs.
  • Strong understanding of graphic design principles and related software, allowing the creation of polished and effective visual communications.

Pay

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources. The CSU Classification Salary Range for this position is $4,047 (Step 1) - $5,896 (Step 20) per month.

Schedule

  • 1.0 time-base, 40 hours per week.
  • This is a probationary position.
