About the Role

The candidate selected for this position will work on the Health Sciences Campus and assist with daily office operations by providing administrative support to department administration, faculty, residents, staff, patients, and students. Responsibilities include scheduling meetings, taking minutes, coordinating travel, serving as timekeeper, maintaining document repositories, assisting with supply and equipment orders, and ensuring a positive customer service environment.

Responsibilities

  • Serve as the primary contact for visitors to the administrative suite of the MCG-Department of Ophthalmology and provide guidance as needed.
  • Coordinate administrative suite operations and serve as the primary point of contact for facilities.
  • Act as department PCard holder (if no existing holder), including monthly reconciliation of expenses.
  • Manage and maintain space and supply inventory, including ordering supplies and arranging/tracking access to offices and laboratory spaces.
  • Assist with day-to-day operations, including coordinating travel arrangements and preparing reimbursement documentation for faculty and staff.
  • Manage calendars and coordinate meetings on behalf of faculty and leadership.
  • Provide administrative support, including faxing, file maintenance, office organization, document preparation, and mail distribution.
  • Support department events such as graduation, faculty meetings, and other gatherings.
  • Serve as the primary time approver by reviewing, correcting, and approving time in OneUSG.
  • Perform all other job-related duties as assigned.

Requirements

  • Associate Degree with a minimum of six years of progressively responsible office support experience, OR
  • High School Diploma/GED with a minimum of nine years of progressively responsible office support experience.

Preferred Qualifications

  • Experience using basic applications in the MS Office suite (Word, Excel, PowerPoint, etc.).
  • Experience using an office switchboard and coordinating travel for faculty and staff.

  • Proficient in Microsoft Office and other computer software/databases.

Pay

$17.88–$21.92 per hour. Salary is commensurate with qualifications within the established range (generally minimum-midpoint) of the position.

Schedule

Days; Monday–Friday. Work outside of normal business hours may be required.

This position is partially funded through external sources; continued employment is contingent upon the availability of these funds.

  • Motor vehicle reports are required for positions that involve driving an Augusta University vehicle.
