About the role
Cedar Gap Wealth Management is seeking an Office Coordinator (i.e. Receptionist) to serve as the first point of contact for clients, callers, vendors, and visitors while helping maintain a polished, organized, and client-ready office environment. This role is responsible for front-desk coverage, phone support, day-to-day administrative coordination, office supplies, deliveries, vendor support, recurring reports, and general administrative assistance for the team.
Responsibilities
- Reception, Client Experience & Front-Desk Support:
- Provide consistent front-desk coverage and serve as a warm, professional first point of contact for clients, callers, visitors, vendors, and delivery partners
- Answer incoming calls, route messages appropriately, welcome clients and guests, and help maintain a positive, client-ready office experience
- Receive deliveries, mail, packages, and office materials, ensuring items are organized, communicated, and handled in a timely manner
- Prepare conference rooms, reception areas, and shared spaces for client meetings, vendor visits, and internal team needs
- Maintain a polished, organized, and welcoming office environment that reflects Cedar Gap’s commitment to personal attention, trust, and reliability
- Support the team’s ability to stay focused on client-service, advisory, and operational priorities by taking ownership of routine front-office needs
- Office Administration, Supplies & Vendor Coordination:
- Order, organize, and manage office supplies, kitchen items, meeting materials, printed resources, and other day-to-day office needs
- Assist with vendor communication, service appointments, deliveries, maintenance requests, office repairs, and general workplace logistics
- Maintain administrative records, supply lists, mailing materials, vendor information, office documentation, and shared resources as assigned
- Help coordinate scheduling needs, office communications, client meeting preparation, internal reminders, and recurring administrative tasks
- Complete recurring reports and routine administrative items currently handled by the client service team, ensuring accuracy, organization, and timely follow-through
- Identify simple ways to improve organization, reduce administrative friction, and keep the office running efficiently
- Team Support & Growth Potential:
- Provide general administrative support to advisors, client service professionals, leadership, and other team members as needed
- Support internal workflows by helping organize information, track routine follow-up items, prepare documents, and keep administrative priorities moving
- Demonstrate curiosity and willingness to learn Cedar Gap’s client-service approach, internal processes, and wealth management environment over time
- Take on additional responsibilities gradually as trust, knowledge, and business understanding develop
- Maintain discretion and professionalism when handling client, team, business, and firm-related information
- For the right individual, build a foundation that could lead to additional client-service responsibilities and potential progression into a Client Associate or Wealth Associate role
Requirements
- Required Qualifications:
- 0-3+ years of experience in reception, administrative support, customer service, office coordination, financial services, professional services, or a related environment
- Strong organizational skills with the ability to manage front-desk priorities, phone coverage, office supplies, deliveries, vendor needs, recurring reports, and day-to-day administrative tasks
- Professional communication skills with the ability to interact warmly and respectfully with clients, advisors, leadership, vendors, visitors, and internal team members
- Comfort answering phones, greeting visitors, taking messages, coordinating basic office needs, and supporting a consistently polished client-facing environment
- High attention to detail when maintaining records, tracking expenses, reviewing documents, organizing internal information, and supporting a polished client-ready environment
- Sound judgment and discretion when handling confidential business, employee, client, financial, or firm-related information
- Reliable, proactive, and service-oriented approach with the ability to anticipate routine needs, follow through on assigned tasks, and ask thoughtful questions when needed
- Proficiency with Microsoft Office or willingness to learn, including Outlook, Word, Excel, Teams, shared calendars, digital filing systems, and general office technology
- Preferred Qualifications:
- Interest in wealth management, financial services, client service, office administration, or building a long-term career in a professional services environment
- Prior experience in wealth management, financial services, banking, insurance, accounting, legal, real estate, hospitality, customer service, or another client-facing professional environment
- Familiarity with CRM systems, document management platforms, e-signature tools, scheduling systems, vendor portals, or collaboration software
- Experience supporting executives, advisors, client service teams, administrative staff, office visitors, or high-touch client relationships
- Motivation to learn, take direction, grow over time, and potentially assume additional client-service or wealth management support responsibilities

Pay
$35,000–$40,000 annual base salary (commensurate with experience and qualifications)
Schedule
Full-time, fully in-office role in Abilene, TX. Monday–Friday.
