Bond, Schoeneck & King, PLLC, a law firm of 300 attorneys in more than 30 practice and industry groups, is accepting applications for a full-time Office Coordinator to support our Rochester office. This position is responsible for serving as the operational hub of Bond's Rochester office, supporting office operations, facilities coordination, workplace experience, meeting and event planning, vendor relationships, and administrative functions. Working closely with the Office Manager, this role helps maintain a professional, organized, and service-focused environment for attorneys, staff, clients, and visitors. Position Responsibilities:Support daily office operations and contribute to a positive workplace experience for attorneys, staff, clients, and visitors.Coordinate office events, employee programs, training sessions, client functions, recruiting activities, and community engagement initiatives.Manage meeting and event logistics, including room scheduling, catering, audiovisual support, materials preparation, and vendor coordination.Maintain conference rooms, common areas, kitchens, and collaboration spaces to ensure a professional and welcoming environment.Coordinate office supplies, equipment, service requests, workspace setups, seating changes, and office moves.Provide administrative support to the Office Manager, including maintaining records, preparing communications, and supporting office initiatives.Assist with onboarding logistics, including workspace preparation, office orientation, and coordination with internal departments.Serve as a liaison with building management, vendors, contractors, and service providers; coordinate maintenance requests and facilities-related needs.Support office safety, security, emergency preparedness, and business continuity initiatives.Coordinate workflow and provide day-to-day guidance for office services and administrative support functions.Serve as backup receptionist and assist with high-volume document production as needed.Contribute to projects and other duties as assigned.Position may require occasional flexibility outside normal business hours. Job Requirements:Associate's degree preferred.Three (3) or more years of experience in office coordination, administrative support, facilities coordination, workplace experience, hospitality, or a related field preferred.Experience in a law firm, professional services organization, corporate office, or other service-focused environment preferred.Demonstrated ability to manage multiple priorities in a fast-paced environment while maintaining exceptional service standards.Strong customer service, organizational, communication, and interpersonal skills.Sound judgment, problem-solving abilities, and attention to detail.Ability to maintain confidentiality and handle sensitive information appropriately.Proficiency with Microsoft Office Suite and standard office technology.Ability to work independently and collaboratively in a team-oriented environment.Adaptable, flexible, and service-oriented mindset.Ability to sit, stand, walk, and move throughout the office regularly.Ability to lift and transport office supplies, event materials, and equipment weighing up to 25 pounds.Ability to operate standard office equipment and technology. This position's salary range is between $52,000 to $60,000, negotiable based on years’ experience.
