About the role
The Office Coordinator, reporting to the General Manager/Operations Manager, will perform administrative tasks and services to support effective and efficient operations of the distribution facility.
Responsibilities
- Perform administrative and clerical tasks as assigned; including, but not limited to, data entry; copying; filing; drafting letters, memos, invoices, reports, word and excel documents, PowerPoint and retrieving information as needed.
- Responsible for handling confidential and time-sensitive issues and documents.
- Maintain accurate and current inventory levels for warehouse supplies and record appropriately in accordance with customer and company specifications.
- Schedule meetings as requested; types agendas and supporting documents; compiles agendas, related materials and distributes to meeting members; arranges for rooms and refreshments.
- Manage MS Outlook calendars, contacts and email accounts for managers when necessary.
- Record expenses and tracks to budgeted expenses, notes area of potential concern.
- Prepare reports, analysis, presentations/visual aids, SOPs and routine correspondence; reviews to ensure accuracy.
- Perform various Kronos time keeping functions and reporting, including submitting time to agencies for payroll.
- Maintains warehouse employee roster, updates daily; collects, monitors and reports on headcount data.
- Assists with employee onboarding logistics such as distributing access badges, assigning employee lockers and issuing system login access.
- Performs other duties as assigned.
Qualifications
- Prior related office experience preferred; experience in a distribution facility strongly preferred.
- Ability to read, write, and communicate effectively in English (Bilingual Spanish/English skills preferred).
- Proficient with all Microsoft applications.
- Proficient with or the ability to quickly learn payroll management (Kronos) and similar computer applications.
- Must demonstrate high level of interpersonal and communication skills with ability to work well under pressure and problem solve across a variety of business processes.
- Able to balance competing priorities, complex situations, and tight deadlines.
- Strong emphasis on organizational skills and attention to detail.
Schedule
This shift works 7:30am-4:15pm, Monday-Friday.
Pay
$23.00/hour.
