Responsibilities
- Own front door operations and guest management including greeting visitors (candidates, vendors, employees, etc.) in a professional and welcoming manner, coordinating guest check-in processes, visitor badges, meeting room readiness, and general office access logistics ensuring a high-quality experience from arrival through departure
- Support day-to-day office operations across Northwood’s expanded footprint, ensuring spaces are organized, stocked, functional, and ready for employee use and managing office coordination tasks such as supplies, snacks, conference room readiness, mail and packages, vendor coordination, and general workspace upkeep
- Partner closely with Facilities, People Operations, Recruiting, and internal teams to support office needs, onsite interviews, employee events, and visitor logistics
- Help identify and resolve office issues quickly, escalating facilities-related needs to the Facilities Manager as appropriate and support employee experience by maintaining a polished, welcoming, and efficient office environment
- Continuously identify opportunities to improve office coordination processes, guest experience, and day-to-day workplace efficiency
Qualifications
- Basic Qualifications: Bachelor's degree or equivalent practical experience
- Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities in a fast-moving environment
- Strong communication and interpersonal skills, with a focus on delivering an excellent guest and employee experience
- Proactive, resourceful, and highly responsive, with a strong sense of ownership
- Able to maintain discretion and professionalism when handling confidential or sensitive information
Preferred Qualifications
- Prior experience in office coordination, workplace operations, front desk operations, hospitality, recruiting coordination, or a similar in-person support role
- Experience supporting a fast-paced, high-growth, startup, aerospace, hardware, manufacturing, or technical environment
- Strong customer service or hospitality mindset, with experience creating a polished and welcoming experience for guests, candidates, employees, and vendors
- Familiarity with visitor management, office access systems, mail and package coordination, vendor coordination, or workplace tools
Additional Requirements
- This position requires successfully obtaining and maintaining a Top Secret Security Clearance as a condition of employment. While the clearance may not be immediately necessary upon hire, we encourage you to initiate the application process promptly upon accepting this offer. Your ability to secure the necessary clearance is essential for fulfilling key responsibilities of the role.

- Must be willing to work extended hours and weekends as needed
- This role requires being on-site 5 days per week
Compensation
Compensation at Northwood Space is based on role, level, location, and alignment with market data. Individual base pay is determined on a case-by-case basis and may vary depending on job-related skills, education, experience, and technical expertise. Base salary is just one part of your total rewards package at Northwood.
