Part-time position located at Macomb Community Action's South Action Center in Warren, scheduled for up to 29 hours per week during regular business hours (Monday–Friday, 9:00 a.m.–4:00 p.m.). Strong preference for either four longer days or five shorter days.

About the role

This Office Assistant supports the daily operations of the Action Center by performing routine to moderately difficult clerical duties. The role requires strong customer service skills, attention to detail, and the ability to manage multiple tasks in a busy environment.

Responsibilities

  • Perform clerical duties according to established policies and procedures.
  • Record or post information in journals, files, and other departmental records.
  • Verify accuracy of information and prepare forms, records, requests for funds, and other documents.
  • Type and/or prepare vouchers, forms, memos, letters, records, and other correspondence.
  • Perform calculations and compile information for various documents and reports.
  • Open, sort, tally, and record payments and other documents received.
  • Enter information on records and forms.
  • Compile and maintain departmental files.
  • Distribute notices, forms, and other documents.
  • Make duplicate copies of reports and route them to proper persons, departments, or files.
  • Receive incoming telephone calls and emails; provide assistance by answering questions and inquiries; relay messages to appropriate individuals or departments.
  • Operate standard office equipment such as personal computers, facsimile machines, copiers, scanners, calculators, and adding machines.
  • Operate an automobile to perform assigned job functions.
  • Perform related duties as assigned.

Requirements

  • High School diploma or GED equivalent.
  • Possession of a valid Michigan driver’s license and an operable, insured automobile for authorized travel.

Preferred Qualifications

  • Previous clerical work experience.
  • Ability to effectively speak, write, and understand a language other than English.

Skills

  • Knowledge of modern office procedures and methods.
  • Proficiency in various data processing/computer systems and office administration applications.
  • Strong interpersonal skills to develop and maintain effective working relationships with staff and the public.
  • Customer service skills for internal and external customers via phone, email, and in person.
  • Ability to perform a variety of duties, often changing tasks quickly.
  • Basic mathematical functions (addition, subtraction, multiplication, division, percentages, ratios).
  • Organization and time management.
  • Operating personal computers with current office efficiency software.
  • Data entry across multiple database applications for registration, enrollment, service provision, billing, inventory, and statistical review and reporting.
  • Ability to work in an environment embracing the county’s Dignity Campaign.
  • Effectively speak, write, and understand the English language.
  • Understand and carry out oral and written directions.
  • Accurately organize and maintain paper documents and electronic files.
  • Maintain confidentiality of information and professional boundaries.
  • Provide excellent customer service with tact and courtesy.
  • Meet schedules and deadlines.
  • Perform low to moderate-level clerical/administrative duties with a high degree of accuracy.
  • Learn new policies, practices, and procedures.
  • Read and understand laws, rulings, and other published guidance.

Work Environment

  • Primarily in an office or similar indoor environment.
  • Occasional exposure to hostile or irate individuals.
  • Occasional driving on sealed and unsealed roads.

Physical Demands

  • Frequent/continuous manual dexterity (fine finger movements, e.g., keyboard operation, writing).
  • Frequent/continuous sitting during task performance.
  • Occasional grasping, gripping, holding, or clasping with fingers or hands.
  • Occasional kneeling to work at low levels.
  • Occasional standing in an upright position without movement.
  • Occasional walking considerable distances in the facility on multiple surfaces.
  • Occasional lifting, carrying, or moving objects up to 50 pounds.

Pay

$19.27 – $24.92 per hour. Overtime pursuant to Collective Bargaining Agreement or Human Resources and Labor Relations Policy.

This position is grant or externally funded and will continue only if sufficient funds are provided. Represented by UAW Local 889.
