Front-office role in a medical practice, focused on patient registration, insurance verification, and appointment coordination.
Responsibilities
- Cheerfully greet and register incoming patients and visitors; determine needs and respond accordingly.
- Retrieve, review for correctness, and process patient registration forms.
- Collect, scan, and update personal and financial information (insurance cards, driver’s license, etc.).
- Run insurance verification/eligibility on every patient and work eligibility alerts.
- Collect payments from patients and provide receipts.
- Retrieve messages from answering service/voicemail multiple times daily.
- Answer telephone and direct incoming calls to the appropriate party via message center.
- Work Cerner message center pools and complete messages as applicable.
- Schedule patient appointments according to provider protocol.
- Maintain copays, petty cash logs, and receipts.
- Forward medical record requests to the Health Information Management Department (HIM) in a timely fashion.
- Monitor patient reminder system daily, including cancellations, reschedules, and no-show appointments; follow up as appropriate.
- Follow HIPAA, confidentiality, and security rules when providing information to outside sources.
- Accept and sign for mail parcels and other deliveries according to office policy.
- Practice sterile techniques and universal precautions when accepting specimens from patients over the counter.
- Provide lead or manager with a list of clerical supplies as needed.
- Maintain an orderly, neat, and clean front desk area and waiting room.
- Routinely retrieve faxes from the fax machine.
- Obtain prior authorizations as required by patient insurance policy for testing and procedures.
- Travel to other IPG offices to cover front office when requested.
- Perform other tasks as requested.
Requirements
- High school graduate or equivalent required.
- 2 years of medical office or customer service experience preferred.
- Completion of a recognized medical secretarial program preferred.
- Knowledge of medical practice operations, clerical equipment, and processes.
- Basic understanding of medical terms and abbreviations.
- Proficiency in computer systems, medical forms, reports, and processing methods.
- Clear understanding of confidentiality laws governing the patient/physician relationship.
- Ability to make and sustain a great first impression.
- Experience with multilane telephones, automated systems, computers, and fax machines.
- Strong interpersonal skills and ability to maintain cooperative relationships with staff, patients, physicians, and management.
- Clear and concise communication skills.
- Critical-thinking and team coordination skills.
- Ability to maintain organized and accurate records.
- Serve as a patient advocate.
- Adhere to dress code policy and maintain professional appearance.
