Office Assistant III
Multiple Office Assistant III vacancies are available across several City of Saint Paul departments. The eligible list created from this assessment will also be used to fill future Office Assistant III positions as they become available.
Responsibilities
Planning and Economic Development (1 vacancy)
- Provide customer outreach, database management, and support for the Business Resource Team (BRT).
- Back up the HRA Recording Secretary by entering information into Legistar, reading agendas at live meetings, and attending HRA Agenda Review/Workplan meetings.
- Respond to business resources emails and calls; communicate with customers interested in business assistance and provide high-quality resources and referrals.
- Process improvement actions and close service gaps to ensure customers are paired with the right staff person.
- Plan, design, and execute all-staff meetings on a quarterly basis.
- Support the Economic Development Director with calendaring, managing internal and external guests, correspondence, PowerPoint slide decks, and project managers with various needs.
Libraries (1 vacancy)
- Support library administration by providing front desk support, ordering office supplies, and sorting mail.
- Provide clerical support for library projects, including entering purchasing requisitions, assisting with contracts management, and records retention.
- Assist with cash receipt management and other financial processes as necessary.
Parks and Recreation Department/Como Park Zoo and Conservatory (1 vacancy)
- Provide office support, including processing mail, managing campus technology (phones, copiers, shared technology), and handling uniform ordering.
- Manage the campus director's calendar, schedule meetings, and take minutes.
- Maintain contact lists, including emergency contacts, radio call lists, key card/fob/key access, and annual parking passes.
- Support Human Resources functions, including I-9 review and verification, processing background checks, coordinating new employee onboarding, and managing file security.
- Update information in Global HR and Workforce Management systems.
- Submit hiring requisitions and purchase orders.
- Schedule, record, and track annual trainings.
- Compile weekly reports on campus accidents and incidents.
Police (2 vacancies: Western District and Police Headquarters/Human Resources unit)
- Maintain office operations by receiving and distributing communications, including answering phones, collecting and mailing correspondence, and monitoring emails.
- Interact professionally with community members, department personnel, and outside agencies.
- Update and maintain databases such as internal staff contact lists, personnel training records, and team personnel files.
- Produce current crime patterns/trends via GIS and assist with special projects.
- Generate monthly problem property stats and monthly stats on officers’ work assignments.
Public Works (1 vacancy)
- Perform complex clerical and administrative support duties, including accounts payable and data entry tasks.
- Provide customer service and interact with vendors and staff.
- Answer phones for general inquiries and respond to customer or co-worker requests via phone and email.
- Process invoices, billings, and cash receipts.
- Handle cash and credit card transactions from customers.
- Prioritize assigned duties and complete tasks with frequent interruptions.
Department-Specific Information
Planning and Economic Development
Employees are required to be in the office at least 24 hours per week (3 days). Location: City Hall Annex, 25 4th St. West, Saint Paul, MN 55102, floor 1300.
Libraries
This position supports the Operations division of the Saint Paul Public Library. Work location: George Latimer Central Library (90 West 4th Street). Schedule: Monday-Friday, 8:00 AM–4:30 PM, with remote work on Mondays and in-office work Tuesday-Friday.
Parks and Recreation
Work schedule: Monday-Friday, 8:00 AM–4:30 PM. Location: Como Park Zoo and Conservatory, 1315 Aida Place, Como, MN.
Police
Morning hours with negotiable start times. No remote work; positions are in-office Monday-Friday. Free on-site parking available. Western District location: 389 Hamline Ave. N, Saint Paul, MN 55104. Police Headquarters location: 367 Grove Street, Saint Paul, MN 55101.
Public Works
Work schedule: Monday-Friday, 6:45 AM–3:15 PM. Location: Asphalt Plant, 456 Burgess St, St Paul, MN 55117. No hybrid scheduling available.
Requirements
- High school diploma or General Education Development certificate (GED).
- Four years of clerical/administrative experience, with at least two years as an Office Assistant II or equivalent.
- Two years of post-high school education may substitute for two years of clerical/administrative experience if the curriculum is relevant.
Assessment Process
- Qualifications Rating: Assessment of your application and supplemental questionnaire responses. Must be submitted by the application deadline.
- Computerized Assessment: Electronic assessment evaluating Microsoft Outlook, Excel, and Word skills. Sent to qualified candidates the week of September 7, 2026.

- Final Score Calculation: (Qualifications Rating × 0.40) + (Computerized Assessment × 0.60) = 100%. A score of 75% or higher is required to pass.
Final Selection and Pre-Employment Screening
- Passing candidates will be placed on an eligible list for approximately six months.
- Final selection may include an interview, job simulation, work sample submission, or other evaluation methods.
- Pre-employment screening includes a credit check and background check for Planning and Economic Development, a Police background check for the Police Department, and a background check for Libraries, Parks and Recreation, and Public Works.
