General Summary
Performs a variety of clerical office duties related to telephone management, receiving patients, insurance/billing, electronic record management, scheduling and administrative support as necessary. Ensures that the patient visit is a well-coordinated and friendly experience.
Responsibilities
- Serve as an in-person, patient-facing representative to greet clients, manage check-in and check-out processes, and collect necessary registration documentation.
- Manage a high-volume, multi-line phone system, including scheduling appointments, transferring calls to appropriate staff, and accurately documenting and forwarding messages.
- Scan and upload documents accurately into the electronic health record (EHR) system.
- Ensure that patient Race, Ethnicity, and Language information is properly documented.
- Collect copayments and reconcile/close the cash drawer daily.
- Schedule patient evaluations, consultations, and follow-up appointments in a timely manner.
- Participate in cross-training initiatives to support team coverage and operational efficiency.
- Maintain strict compliance with all HIPAA regulations and confidentiality standards.
- Process and forward missed appointment notifications in accordance with WellSpan’s Missed Appointment Policy.
Qualifications
- Minimum Education: Certificate Program in Professional Medical, Administrative or Business School Required or High School Diploma or GED with 12 or more months of customer service experience Required.
- Work Experience: Less than 1 year of relevant experience Required.
- Knowledge, Skills, and Abilities: Excellent interpersonal/communications skills; Knowledge of medical/mental health office operations to include reception, billing and insurance and general office skills; Computer skills to include typing.
