About the role
The primary responsibility of the Office Aide/Receptionist is to answer all telephone calls, greet tenants and visitors at the front desk, receive monthly rents. Other duties include assessing tenant concerns, scheduling recertification appointments/other appointments as necessary; other clerical duties as assigned.
Responsibilities
- Answer all telephone calls, greet all tenants and visitors.
- Direct delivery personnel to corresponding apartments for deliveries if needed.
- Perform clerical duties including copying, filing, faxing, emailing, scanning of documents.
- File completed Work Orders once received.
- Receive Monthly Rents and check the same against the Monthly Rent Roll for accuracy.
- Schedule Recertification Appointments as given by Administrator or COS.
- Maintain individual tenant files with information pertaining to HUD, HOME and LII-ITC Programs.
- Aid tenants with complaints/completing Complaint Form.
- Maintain up to date tenant phone list by alphabetical and numerical.
- Respond to all emergency alarms during office hours with the assistance of maintenance.
- Assist COS/Administrator in the collection/receipt of third party verification forms for all certifications and place in corresponding tenant files.
- Perform other duties as assigned by COS/Administrator.
Requirements
- Completion of a secondary education Training or work experience which gives evidence of basic knowledge of office practices and procedures.
- Knowledge of HUD, Horne and LIRTC programs a plus but not required.
- Willingness to continue to learn of certification process for above housing programs.
- Strong computer skills - Excel and Microsoft.
- Excellent telephone skills.
- Must be safety conscious.
- Must be able to change tasks quickly as emergency requires.
- Must be able to keep personal, private information confidential.
- Must be polite and courteous to tenants, tenant family and visitors.
- Must have the ability to work and relate well with older adults and disabled persons.

Pay

Schedule
- Monday through Thursday 9:00 am - 3:30 pm, Friday 9:00 am - 2:30 pm.
