Office Administrator – Public Notices

About the role
LocaliQ/USA Today is looking for a Public Notice Coordinator to join our team. This is an administrative and customer service role focused on making sure public notices, legal notices, and advertisements are entered accurately, placed correctly, and processed on time. You'll work with customers, sales representatives, and internal teams throughout the day, while managing emails, phone calls, data entry, and time-sensitive deadlines. If you're organized, dependable, detail-oriented, and comfortable working with computers, this could be a great fit for you.
Responsibilities
- Process public notices and advertisements, ensuring information is accurate and deadlines are met
- Work directly with customers and sales representatives to answer questions and coordinate notice placement
- Manage daily emails, phone calls, reports, proofs, and other administrative responsibilities
- Enter information into multiple computer systems and maintain accurate records
- Coordinate with internal teams to resolve issues and keep work moving
- Manage changing priorities while maintaining a high level of accuracy and customer service
Requirements
- Strong attention to detail and pride in getting things right
- Excellent organization and ability to manage deadlines
- Strong written and verbal communication skills
- Comfortable using computers and learning new software
- Professional customer service and phone skills
- Dependable, accountable, and able to work independently
Previous office, administrative, customer service, or data entry experience is a plus, but not required. We'll train you on our systems and processes. Notary experience is also not required—we can assist with becoming a notary if needed.

Pay
The hourly rate for this role will range between $15.00 and $16.00. Variable incentive compensation, including commissions, is not reflected in these figures and, based on the role, may be applicable. Exact compensation may vary based on skills, experience, education level, location, and union representation, if applicable.
Schedule
Monday–Friday, 8:00 AM–5:00 PM
Work Arrangement: In-office – off of N. Broadway, Green Bay, WI
