What You’ll Do
- Answer phones and greet clients in a friendly, positive, and warm manner
- Manage advisors’ calendar, including appointment scheduling and rescheduling
- Ensure advisor is well-organized and prepared for client meetings
- Aid clients with completing required paperwork and follow-up on service-related requests
- Maintain the firm’s CRM system (Wealthbox) through accurate data entry and database management
- Build and improve upon client relationships
- Support social media campaigns and marketing efforts through Snappy Kraken
- Maintain office filing system, both paper and electronic
- Order supplies, manage inventory, process mail and deliveries
- Aid with additional duties and responsibilities as needed to support the team and ensure a high standard of service
What We’re Looking For
- A High School Diploma
- 3+ years of administrative office experience in a professional fast-paced environment
- Strong proficiency and confidence working across various platforms and operating systems including Microsoft Office Suite
- A self-starter who takes initiative and works well independently
- Excellent communication; written and verbal, professional and well spoken
- A collaborative team player willing to assist others
- Exceptional organizational skills by efficiently managing multiple client requests and prioritizing time-sensitive tasks
- Meticulous attention to detail and a commitment to accuracy
- Skilled in building strong, trust-based relationships with clients by providing attentive, personalized service and guidance
- Embraces change and adapts quickly to evolving processes

- Financial industry experience
- Fidelity investment experience is a plus
