Office Administrative Assistant — Bilingual English/Spanish

Key Responsibilities

  • Provide general administrative and clerical support to the internal team.
  • Affiliate with employee onboarding processes, including gathering required documentation and producing onboarding materials.
  • Coordinate pre-employment background checks and follow up on outstanding requirements.
  • Affiliate with employee timesheet collection, examination, review, and submission.
  • Affiliate with the company's UKG implementation and integration process under the direction of the team member overseeing the project.
  • Affiliate with scheduling meetings, appointments, interviews, and company events.
  • Help organize company meetings, celebrations, and internal events.
  • Affiliate with setting up conference rooms before meetings and ensuring the space is clean and properly prepared.
  • Affiliate with attending meetings as requested and taking clear, organized meeting minutes.
  • Affiliate with receiving, documenting, and distributing incoming packages and deliveries.
  • Affiliate with filing, scanning, printing, copying, and organizing paperwork and electronic records.
  • Affiliate with ensuring files and documents are maintained according to company standards.
  • Affiliate with ordering office supplies and monitoring inventory to ensure materials remain stocked.
  • Affiliate with helping maintain a clean, organized, and professional office environment.
  • Affiliate with greeting and assisting employees, candidates, visitors, and vendors as needed.
  • Affiliate with supporting additional administrative and HR-related projects as assigned.

Qualifications

  • Bilingual fluency in English and Spanish is required.
  • Previous experience in office administration, administrative support, human resources support, or a related position is preferred.
  • Experience assisting with onboarding, background checks, timesheets, or employee documentation is strongly preferred.
  • Strong organizational and time-management skills.
  • Excellent attention to detail and follow-through.
  • Professional written and verbal communication skills.
  • Ability to handle sensitive and confidential employee information appropriately.
  • Comfortable using Microsoft Office, including Outlook, Word, and Excel.
  • Experience with UKG or another HRIS/timekeeping system is helpful but not required.
  • Ability to prioritize multiple responsibilities in a fast-paced office environment.
  • Dependable, proactive, approachable, and willing to assist wherever needed.
