About the role
We are looking for an Occupancy Specialist to support housing operations in Massachusetts within the real estate property and facilities management sector. This contract opportunity is ideal for someone who can balance accuracy, tenant communication, and regulatory compliance in a fast-paced environment. The person in this role will help manage occupancy-related processes, maintain organized records, and provide responsive administrative support to applicants, residents, and property management teams.
Responsibilities
- Review household income information and apply established guidelines to determine appropriate rent amounts.
- Evaluate applicant files to confirm housing eligibility and ensure all supporting documentation is complete and accurate.
- Draft and distribute resident communications, including notices related to rent changes, interviews, and other occupancy matters.
- Meet with applicants and tenants to conduct interviews, gather required details, and arrange recurring eligibility reviews.
- Maintain current and confidential tenant records by tracking documents, updates, and compliance-related information.
- Coordinate calendars for interviews, orientations, and follow-up appointments while keeping all parties informed of scheduling changes.
- Prepare clear written materials such as letters, internal memos, and routine correspondence connected to occupancy administration.
- Partner with property management staff on outreach efforts intended to support leasing activity and reduce vacancy exposure.
- Interpret housing policies and regulatory requirements to help ensure occupancy decisions align with applicable program rules.
Requirements
- Previous experience in property administration, occupancy, leasing support, or affordable housing operations.
- Working knowledge of income verification, rent calculation, and applicant eligibility review processes.
- Strong written and verbal communication skills with the ability to handle sensitive conversations professionally.
- Proven ability to manage detailed records with a high level of accuracy and confidentiality.
- Proficiency in Microsoft Excel, Word, and Outlook for tracking information and preparing correspondence.
- Comfortable handling multi-line phone systems and responding to inquiries from tenants, applicants, and internal teams.
- Strong organizational skills with the ability to coordinate appointments and manage multiple priorities effectively.
