Night Office Assistant Senior (Additional 10% Jail Side Hourly Premium)
Public Service Loan Forgiveness (PSLF) is available to full-time employees of the Multnomah County Health Department through the Federal Student Aid U.S. Department of Education program.

This Night Shift Office Assistant Senior role provides essential administrative and customer-service support to facility administrators within a dynamic, 24/7 multi-facility environment. Responsibilities
- Shift Coverage & Schedule Monitoring
- Maintain mandatory staffing levels for day and night shifts.
- Conduct time entry reviews and collaborate with leadership to ensure operational compliance.
- Formulate uniform schedules for every facility, prioritizing NOC and daytime rotations while organizing relief for both anticipated and emergency leave.
- Review Workday entries for accuracy and pay consistency.
- Provide staff resources, resolve discrepancies, and assist supervisors with scheduling errors.
- Stakeholder Collaboration and Contract Compliance
- Work with management to find economical staffing solutions that align with ONA and Local 88 rules.
- Systems Maintenance
- Independently update Google Drive schedules, tracking availability and time entries via shared sheets and calendars.
- Workday Support and Time Entry Review
- Audit Workday entries for accuracy and consistency.
- Medical Transcription
- Transcribe provider medical orders in Epic and ensure accurate clinical data entry.
- Manage ESWIS patient follow-up protocols, including scheduling labs, updating Sapphire, and arranging appointments and specialty visits.
- Execute billing for Corrections Health inmate services and process health information and special records release requests.
- Provide referral support and maintain inmate health documentation integrity.
- Research & Data Management Operations
- Assist leadership with administrative tasks.
- Manage records for discovery and public requests.
- Evaluate operations to enhance service delivery.
- Vendor and Order Management
- Order supplies via Multco Marketplace with management approval.
- Maintain consistent stock levels for clinical needs.
- Verify delivery accuracy against orders.
- Coordinate special requests and support finance with accounts payable/receivable.
Requirements
We will consider any combination of relevant work experience, volunteering, education, and transferable skills as qualifying unless an item or section is labeled required.
- Education/Training: Equivalent to the completion of the twelfth grade.
- Experience: Three (3) years of experience demonstrating the ability to perform the duties of the position. Equivalency: 3-6 years of qualifying training and/or experience.
- Other: This position requires a background investigation, which may include being fingerprinted. Employment is contingent on passing a background investigation. The employee holding this position is designated as an Essential Employee.
Preferred Qualifications
You do not need the following preferred qualifications to qualify, but they may be considered when identifying the most qualified candidates.
- Jail health administration experience.
- Previous medical clinic experience.
- Experience organizing complex schedules.
- Project coordination skills.
- Training or experience in working in EPIC or with Electronic Health Record systems.
- Experience managing multi phone lines.

Additional compensation:
- Office Assistant Seniors receive an additional Jail Side 10% Hourly Premium.
- An additional hourly premium of $1.25 in addition to the established wage rate.
Pay
$29.29 - $36.03 hourly.
Schedule
This is a regular, full-time, non-exempt position eligible for overtime. The role involves night shift work within a 24/7 multi-facility environment.
