Ministry Assistant to the Pastor and Education Ministry
Relationships
To the Lord: The Ministry Assistant must demonstrate unquestioned Christian experience and commitment. Church membership and a personal relationship with the Lord are required and guide their lifestyle.
To the church: The Ministry Assistant must be loyal to the activities and ministry of the church.
To her/his supervisor: The Ministry Assistant reports to the Church Administrator for all duties described and any future assignments.
Responsibilities
- Type, file, and/or prepare correspondence and related materials for the Pastor and Youth Pastor.
- Serve as receptionist for the Pastor, including making appointments, receiving visitors, and handling phone calls.
- Prepare and record daily updates on the prayer line, including the Hospital and Prayer List.
- Keep Pastors informed of deaths, illnesses, and other crises among church members.
- Contact members listed on the Hospital & Prayer List at home and report back to the Pastors.
- Maintain up-to-date personnel files, including sick leave, vacation, and other records for called staff, support staff, custodial staff, and self.
- Schedule Baptismal services with candidates and the Pastor, and prepare the area with necessary supplies.
- Schedule Weddings, work with families to communicate church policies and fees, prepare wedding certificates, and mail licenses.
- Serve as a liaison with the Chairman of the Deacons, officers, Women’s Enrichment Ministry, Homebound Ministry, and Carpenters for Christ for their secretarial needs.
- Maintain the Master Church calendar, assign rooms, provide custodians with room setup requirements, and ensure the calendar remains current.
- Serve as secretary for church staff meetings.
- Maintain an accurate chronological file of all church additions.
- Train and/or supervise volunteer clerical workers as needed.
- Keep Sunday School records up to date weekly on computer and prepare reports for weekly and quarterly submissions.
- Maintain the church’s social media presence and website.
- Perform other duties as assigned.
Remarks
The Ministry Assistant is required to maintain office hours of 8:30 A.M. – 5:00 P.M., Monday through Thursday, and 8:30 A.M. – 12:00 P.M. on Friday. A one-hour lunch break is provided on a rotating basis between 11:00 A.M. and 1:00 P.M.
The Ministry Assistant is expected to willingly cover duties for absent colleagues or during staff vacancies. Front desk absences will be handled through a rotating schedule throughout the day.
Dress and demeanor must reflect a Christian commitment and a desire to share the message of Christ with all who enter the church office. The Ministry Assistant’s loyalty and confidentiality must be unquestioned; violation of job integrity is grounds for dismissal.
