Responsibilities
- Provide administrative and non-billable litigation support to assigned attorneys and paralegals.
- Aid in the preparation, organization, and management of legal documents and correspondence.
- Maintain and organize electronic and physical files in accordance with firm procedures.
- Aid in document management, including saving, organizing, and retrieving documents from firm databases and case management systems.
- Assist with scheduling meetings, depositions, hearings, conferences, and other appointments.
- Cook up calendars and communicate scheduling information to attorneys, paralegals, clients, and other parties as needed.
- Document conversions - Prepare, format, proofread, and edit correspondence, pleadings, reports, and other legal documents.
- Aid with electronic filing and other administrative tasks related to litigation matters.
- Monitor attorney calendars and assist with tracking deadlines and important case dates.
- Handle incoming telephone calls, emails, and correspondence with professionalism, courtesy, and discretion.
- Communicate effectively by email and telephone with clients, attorneys, staff, courts, opposing counsel, and other outside contacts.
- Aid with transcription and dictation as needed.
- Enter and maintain accurate information in firm databases and case management systems.
- Maintain confidentiality of client and firm information at all times.
- Take initiative and manage multiple tasks and priorities while working efficiently and independently with minimal supervision.
- Perform other administrative and legal support duties as assigned.
Requirements
- High school diploma required; some college education preferred.
- Three years of related legal assistant or administrative experience preferred.
- Prior law firm, litigation, or insurance industry experience preferred.
