Metrology Manager
Team Manager for Pipettes is a vital role in the PCI organization. The Team Manager is responsible for delivering excellent services to PCI clients; managing, developing, and mentoring associates; and maintaining the profitability of the business unit. This position is exempt and reports directly to a Senior Manager, Director, or Vice President, depending on the division. Twenty-five to fifty percent travel may be required based on project and client needs.
Expectations
The expectations of a Team Manager for Pipettes fall under three main categories:
- Communication and Engagement with Customer: Team Managers interface with customers on many levels, serving as the primary contact and "Account Manager" for specific clients. Responsibilities include:
- Handling all communication, status reporting, and interfacing with customers on assigned projects.
- Building relationships with key customer personnel and representing PCI culture and mission.
- Communicating relevant opportunities, organizational changes, risks, and trends to PCI management.
- Identifying and pursuing new business opportunities at existing and potential customers.
- Meeting with customer contacts routinely to deliver support, solicit feedback, renew POs, and inform customers of PCI’s service offerings.
- Participating in at least one professional organization (e.g., ISPE, PDA, NCSL, or ASQ) to reinforce PCI’s industry leadership.
- Manage and Lead our Associates: Team Managers are responsible for:
- Communicating with and managing associates, including providing feedback, conducting performance reviews, and preparing development plans.
- Approving PTO, expense reports, and addressing disciplinary matters.
- Organizing and facilitating the mentoring process for new hires.
- Conducting themselves in accordance with PCI values as representatives of PCI management.
- Manage Risk and Profitability: Team Managers must:
- Manage resources, schedules, and associate assignments to maximize labor utilization and profitability.
- Ensure projects are properly managed by providing timely status reports and updates to customers and PCI management.
- Communicate all project risks, issues, delays, scope changes, and overruns promptly.
Responsibilities
- Monitor and update resource scheduling to maximize labor utilization and maintain forecasts at least three weeks in advance.
- Re-align schedules frequently through communication with clients, associates, PCI management, and project stakeholders.
- Notify resources and management of any schedule changes or breaks in a timely manner.
- Review schedules weekly and plan accordingly.
- Proactively assess project safety concerns and ensure PCI team members comply with client and PCI site safety requirements.
- Participate in and host internal and client-specific leadership meetings, providing updates on new services, client expansions, resources, and scheduling issues (monthly).
- Provide weekly metric reporting and routine communications with regional leadership to address workload fluctuations.
- Deliver routine client-specific KPIs, including financial, calibration, and project deliverables.
- Write and submit proposals for existing and potential new clients, including resource planning and scope of work, for PCI management approval.
- Regularly discuss PCI’s service offerings with clients to explore opportunities for expanding value.
- Engage associates in discussions about their long-term goals and conduct meaningful, timely performance reviews.
- Manage projects to minimize risk and optimize labor utilization.
- Ensure timesheets are logged accurately, with proper project codes, expenses, and mileage.
- Review vacation requests and ensure adequate resource scheduling before approval.
- Notify the project accounting team of any client changes (e.g., billing, contact, calibration, task, and rate codes) weekly by Friday.
- Up to 50%-75% of work time may be client-billable activities based on business need and team structure.
Skills
- Strong demonstrated leadership skills in client projects and team development.
- Proven ability to support instrument, equipment, and loop calibrations in manufacturing, utilities, and laboratory environments.
- Exceptional Computerized Maintenance Management Systems (CMMS) skills and proficiency in Microsoft Office Suite and project planning software (e.g., MS Project).
- Ability to develop and manage key deliverables using project management tools (e.g., LUR, expenses, project deliverables).
- Experience developing and updating PCI policies and procedures, interpreting government regulations, and providing training on instrumentation/calibration principles.
- Ability to assist clients with developing and revising policies and procedures.
- Exceptional communication and problem-solving skills with clients and coworkers.
- Ability to interpret, follow up, and resolve client requests or leads, and develop accurate proposals and quotes.
- Excellent communication skills, including the ability to develop and implement communication policies aligned with PCI objectives.
- Strong ability to influence, guide others, and resolve conflicts.
- Understanding of financial issues and profit-and-loss implications.
- Active membership in an external professional organization (e.g., ISPE, ASQ, PDA) and potential participation as a speaker.
- External certification preferred (e.g., ISA, ASQ).
- Valid driver’s license and good driving record.
Qualifications
- A four-year degree in Engineering, Life Sciences, or a related technical field (or equivalent military training).
- Six years of instrumentation experience in the pharmaceutical industry or an equivalent combination of education and experience.
- Leadership experience in client relations.
