About the role
Under general supervision, this position performs a variety of responsible clerical, administrative, and bookkeeping duties in support of an assigned department. Duties include typing instructional and financial reports, forms, and letters; processing documents for City and regulatory agency compliance; issuing check requests; maintaining office administrative records including accounts payable and receivable; processing technical documents; and providing exceptional customer service to the public.
Responsibilities
- Coordinates and prepares for meetings, including:
- Preparing agenda packets (converting MS Word to PDF format)
- Posting public meetings
- Creating and maintaining meeting records, including minutes
- Oversees creation of internal and external communication materials for public distribution, including:
- Newsletters and other public outreach materials
- Social media content
- Performs research and compiles data/reports for planning and compliance with local, state, and federal laws, regulations, and ordinances.
- Prepares exhibits, statistical data, and supporting information for conferences and meetings.
- Manages department files and records, including compiling information for reports and maintaining records retention schedules.
- Maintains equipment inventory lists.
- Prepares check requests, purchase orders, and vouchers to pay department expenses.
- Maintains office supplies.
- Assists with website content maintenance.
- Greets visitors (in person and by phone), ascertains their needs, provides assistance or referrals, and explains policies and procedures.
- Schedules appointments and maintains division staff calendars, including arranging meetings, travel details, facilities, lodging, and related logistics.
- Operates office equipment, including phones, fax machines, copiers, and computer terminals.
- Operates a City vehicle or other mobile equipment as required.
- Performs other job-related duties as assigned.
Requirements
- Fluent English, including spelling, punctuation, and basic arithmetic.
- Proficiency in office equipment and software, including Microsoft Word, Excel, Google Suite, and filing systems.
- Knowledge of office practices and procedures, including public contact and telephone etiquette.
- Ability to:
- Operate office equipment, including typing at a speed necessary for successful job performance.
- Organize work effectively and use time management skills.
- Communicate effectively both orally and in writing, with emphasis on writing skills (proofreading, editing, and technical content).
- Maintain records and files.
- Prepare reports.
- Interpret local, state, and federal laws and legislation as needed.
- Work independently with minimal supervision.
- Understand and carry out directions.
- Establish and maintain cooperative working relationships with internal and external contacts.

Qualifications
- Two (2) years of general clerical experience is required.
- English-Spanish bilingual skills are preferred.
- A high school diploma or GED is required.
- A valid Texas Driver’s License is required (or ability to obtain within 90 days of employment, or a military waiver).

Pay
Hourly pay range: $18.83 – $22.60 USD.
