Meeting Space Information

Rooms are available on a first-come, first-served basis for organizations who want to meet with colleagues and shareholders during the ASTMH Annual Meeting in Washington, D.C. These meetings are closed-door sessions and will not be publicly listed on the ASTMH app or promoted by ASTMH.

Room size and bookings are based on the number of attendees. Space is available from Tuesday, November 17 through Sunday, November 22 at 1:00 pm. A two-hour minimum booking is required.

Meeting Space Rates

Fees listed are for room rental only and do not include catering or audio-visual (AV) needs.

• 0–15 attendees: $195/hour (Non-Profit), $225/hour (For-Profit)
• 16–49 attendees: $270/hour (Non-Profit), $315/hour (For-Profit)
• 50+ attendees (including receptions): $375/hour (Non-Profit), $450/hour (For-Profit)

Meeting Guidelines

• ASTMH only books meeting space at ASTMH-contracted hotels and convention centers.
• The meeting room rental fee must be received before space is reserved.
• Catering and AV are additional expenses and are not included in the room rental fee. You will be billed directly by the vendor.
• If your meeting requires catering and/or AV equipment, ASTMH will connect you with hotels/vendors for follow-up on arrangements and billing. The meeting organizer must contact the hotel for catering orders and ImageAV for AV equipment orders no later than Monday, October 19. Arrangements cannot be guaranteed unless orders are received by this date.
• In rare circumstances, ASTMH may need to change confirmed meeting space. If this occurs, meeting organizers will be contacted as soon as possible.
• The organization is responsible for verifying the accuracy of the confirmation. Contact ASTMH immediately if the confirmation is incorrect.
• A $100 cancellation fee per meeting will apply to all cancellations made by October 19. No refunds will be issued for cancellations received after October 19.
