About the role
You will be responsible for booking and/or ticketing airline reservations as requested by our program participants and as assigned group programs. You will provide guidance to clients on our services, qualify all meeting requests, support services to event managers and Meeting Planners, and assist as needed to ensure the successful completion of meetings and/or events.
Responsibilities
- Serve as the main contact within the operations team for all participant services related to an event
- Support online registration via CVENT with online bookings via Concur
- Use appropriate BCD tools, GDS, and systems to complete requests
- Demonstrate knowledge of airline supplier rules, including airline contracts held by client or BCD
- Complete assigned work to meet Service Level Agreements (SLAs) on all assigned accounts
- Work within customer budgetary guidelines and advise the Attendee Services Coordinator of any concerns
- Provide travel offers and general travel advice to travelers
- Update Standard Operations Procedures (SOPs) as needed
Requirements
- Prior corporate travel or meeting air coordination experience
- Demonstrated experience managing complex, multi-attendee air travel within a structured corporate travel environment
- Advanced GDS and Concur proficiency
- Proven ability to independently build, audit, and maintain accurate meeting profiles in GDS and Concur, including testing and validation of booking parameters
- Strong data management and reporting skills
- Experience producing detailed Arrival & Departure and spend reports with a high level of accuracy; advanced Excel proficiency required
- Demonstrated adherence to structured SOP environments
- Proven ability to follow detailed intake processes, compliance requirements, and approval workflows without deviation
- Exceptional attention to detail with financial risk awareness
- Track record of minimizing booking errors, managing ticketing deadlines, identifying discrepancies proactively, and understanding the financial impact of air changes and unused tickets
Qualifications
- Advanced proficiency in Microsoft Office, particularly Excel
- Knowledge of airline supplier rules and regulations
- Experience with GDS (Global Distribution Systems) and Concur
- Ability to manage multiple tasks and prioritize effectively
- Excellent communication and interpersonal skills

Pay
The salary range for candidates in applicable jurisdictions in the US for the position of Meetings Air Coordinator is between $52,000 and $61,000. The actual pay depends on your skills, qualifications, experience and geographical location.
Schedule
Flexibility in scheduling is a core requirement of the role.
