About the role
The position involves providing medical and clerical support in connection with the care and treatment given to patients. It includes serving as a receptionist, registration duties, performing record-keeping duties, and providing miscellaneous support to the unit's staff.
Responsibilities
- Provide supervision over the Quarters Management Branch.
- Serves as a receptionist and greets all patients and visitors respectfully.
- Alerts Security personnel to unauthorized visitors.
- Receives and routes incoming telephone calls.
- Distributes mail to medical staff, nursing staff, and patients.
- Schedules appointments for physicians, special clinics, transportation, consultants, and special procedures.
- Searches patient records for specific information.
- Aids in the continuity and quality of care by monitoring patient appointments and follow-ups.
- Schedules appointments with outside facilities and coordinates transfers to outdoor facilities.
- Performs patient registration duties.
- Interviews patients to gather registration information, verifies insurance, and obtains necessary authorizations.
- Identifies and obtains authorization for patients requiring prior authorization.
- Obtains patient signatures and files necessary forms related to medical information, privacy rights, and patient rights.
- Maintains forms and office supplies, replenishing when needed.
- Notifies Housekeeping for routine requests and uses TMA for routine work orders.
- Processes and maintains time and attendance records for the unit.
- Verifies alternate resources and ensures medical records are complete and accurate.
- Maintains computer-generated lists of patients seen in special clinics and monitors no-shows.
- Follows up on missed appointments through letters and referrals.
- Manages incoming telephone calls and directs inquiries appropriately.
- Initiates calls or contacts as directed to obtain or furnish information.
- Ensures confidentiality of information.
- Attends monthly department meetings and records minutes.
- Promotes safety and infection control initiatives.
- Performs other job-related duties as assigned.
Requirements
- High School Diploma or General Education Diploma.
- Three years of work experience in a clerical medical support position, or equivalent.
- Completed a Medical Terminology course.
Qualifications
- Knowledge of the Tohono O'odham culture, customs, and traditions.
- Knowledge of applicable federal, state, tribal laws, regulations, and requirements.
- Knowledge of hospital admitting requirements and procedures.
- Knowledge of medical terminology and usages.
- Knowledge of medical records management processes and procedures.
- Knowledge of the Freedom of Information Act (FOIA) and the Tohono O'odham Nation Drug and Alcohol Abuse Resolution.
- Knowledge of performance improvement activities and tools.
- Knowledge of, and the ability to use, the Resources and Patient Information Management System (RPMS) and Electronic Health Record (EHR).
- Knowledge of the types of medical problems treated by each sub-division clinic.
- Knowledge of legal regulations and requirements about confidentiality.
- Knowledge of the use of the Electronic Health Record, templates, and other computer programs used by TONHC.
