About the role
We have an exciting opportunity to join our team as a Medical Secretary - Temporary. In this role, the successful candidate will provide basic support services for Medical Office intake operations, assist with post-visit inter-departmental scheduling for patient visits, treatments, and procedures, and obtain pre-authorizations/certifications for treatments and diagnostic procedures as appropriate. May provide assistance to less senior staff and cover the front-desk as needed.
Responsibilities
- Maintains and receives files for area in an organized and up-to-date manner to facilitate retrieval, following departmental procedures.
- Sorts and distributes documents and forms, logging materials with respect to time and data when applicable.
- Processes incoming and outgoing documents, completing forms neatly, securing appropriate signatures, and forwarding to correct destinations based on Medical Center procedures.
- Provides reception assistance, including greeting patients, answering calls, and directing requests to the proper individual.
- Screens telephone callers in a pleasant and professional manner, handling calls, taking messages, or directing callers to the appropriate person or area.
- Schedules routine appointments and follow-ups for visits and procedures that do not require or have already been pre-authorized, and prepares the daily schedule.
- Maintains supplies and cleanliness of space, restocking supplies as needed and notifying supervisor of shortages.
- May assist, provide guidance, and/or train less senior staff with completing intake-related duties.
- Prepares simple, routine memoranda, letters, labels, manuscripts, correspondence, and other documents as needed, reviewing work for accuracy and completeness.
- Maintains routine calendar, assists in basic preparation for conferences, and handles related duties.
- Maintains workload statistics and other data for departmental records, recording statistics at established intervals.
- Primarily responsible for taking patient phone calls and scheduling over the phone, including greeting and screening calls, scheduling appointments, collecting patient demographic data, verifying insurance eligibility, coordinating pre-authorizations, and assigning appointments based on procedure and insurance coverage.
- Post patient-appointment, coordinates inter-departmental scheduling for specialist visits, scans, and procedures in accordance with insurance coverage and physician directives.
- Collaborates with other areas of the Medical Center and insurance providers to obtain pre-authorizations/certifications for treatments and diagnostic procedures, ensuring patient eligibility at the time of appointment.
- Responsible for Pre-Authorizations and Certifications (excluding surgical procedures), ensuring appropriate procedure and diagnosis coding is utilized and questioning physicians to ensure accuracy.
- Performs other related duties as needed by providers and supervisors.
- Handles patient check-in and check-out, gathering demographic data, verifying insurance eligibility, collecting signatures on patient-related documents, and following up to complete the intake process.
- Scans necessary documents (insurance cards, lab requisitions, etc.) into the intake system and monitors the intake work queue for timely completion.
- Refers patients with insurance coverage questions or financial concerns to the Business Office Associate based on established criteria.
- Maintains cooperative and professional relationships with physicians, nurses, and office and clinical staff.
- Types routine materials such as forms, letters, and envelopes neatly and accurately.
- Answers patient questions to ensure understanding and satisfaction, or refers them to more senior staff, maintaining confidentiality on privileged matters.
Requirements
- High School diploma.
- One year of relevant medical clerical experience, including prior physician practice experience and knowledge of medical terminology.
- Light, accurate keyboarding skills.
- Excellent organizational, interpersonal, and communication skills.
Preferred Qualifications
- Knowledge of computer-based scheduling and appointment programs.
- Excellent telephone skills.
- Ability to effectively communicate with all levels of the organization.

Pay
The salary range for this role is $69,604.56 - $69,604.56 annually. Actual salaries depend on factors such as experience, specialty, education, and hospital need. This range does not include bonuses, incentive pay, differential pay, or other forms of compensation or benefits.
