Schedule

40 hours weekly:

  • Monday: 8:00 AM – 5:00 PM
  • Tuesday: 7:30 AM – 4:30 PM
  • Wednesday: 8:00 AM – 4:30 PM
  • Thursday: 8:00 AM – 6:30 PM
  • Friday: 8:00 AM – 1:00 PM

About the Role

This role focuses on providing administrative and business support to the organization to achieve operational goals. It involves performing general administration duties such as producing documents, handling mail, preparing reports, making travel arrangements, arranging appointments, responding to inquiries, data entry, and operating office equipment. The position supports daily business activities in a hands-on environment, primarily delivering support services under moderate supervision.

Responsibilities

  • Handles routine administrative duties for the medical office.
  • Verifies insurance for every registration and educates patients on their insurance status.
  • Completes prior insurance authorizations and pre-certifications for patient procedures.
  • Communicates with patients regarding their financial responsibilities, including bad debt or collection history.
  • Secures and posts monies collected during shift with precision.
  • Schedules appointments for physician visits, diagnostic procedures, tests, and preventative visits following established guidelines.
  • Sets up and maintains office records, patient and office files, periodically reviewing for accuracy.
  • Obtains insurance billing information from patients and stays updated on policies of participating insurances.
  • Acts as a receptionist by greeting and directing patients, visitors, and vendors, maintaining a professional and welcoming environment.
  • Receives and routes transcription, lab correspondence, and other patient-related documentation according to office policies.
  • Manages patient tasks, including scheduling follow-up appointments.
  • Orders and maintains office supplies.
  • Assists in the care and maintenance of equipment.
  • Registers patients in the Practice Management System.
  • Retrieves medical necessity documentation, ICD-10 codes, and CPT codes, submitting them for insurance review.
  • Communicates with patients, physicians, and insurance companies regarding authorization status.
  • Determines costs of procedures and assesses patients' financial and insurance status, educating them on coverage options, financial assistance, or payment processes.
  • Collects payments due for procedures or office visits, providing change and/or receipts to patients.
  • Runs money journal at the end of shift, ensuring balance between postings and collections, and turns in monies to assigned cashier accountant.
  • Provides patient education regarding office guidelines.

Requirements

  • High School diploma or equivalent.
  • One (1) year of experience in healthcare, including staffing and scheduling.

Preferred Qualifications

  • Associate’s or Bachelor’s degree.
  • Three (3) years of experience in healthcare, including staffing and scheduling.
  • Medical transcription experience.

Physical Requirements

  • Frequent sitting, occasional standing or working.
  • Lifting of 10-15 lbs.
  • May be exposed to dust and other typical office-like discomforts.
  • Manual dexterity for computer keyboard operation.
  • Ability to see computer screens and read reports.
  • Ability to hear instructions from physicians and other clinical or nursing staff.

Skills & Abilities

  • Computer literacy, including familiarity with word processing programs, electronic spreadsheets, and learning new applications.
  • Excellent interpersonal and customer service skills, including telephone etiquette.
  • High degree of tact for frequent interactions with patients, physicians, and insurance companies.
  • Strong business skills, including understanding of healthcare expenses, billing, revenue, and reimbursement models.
  • Ability to develop recommendations based on analysis and drive team decisions.
  • Excellent organizational skills with attention to detail.
  • Knowledge of medical terminology.
  • Ability to work independently with minimal supervision on routine matters.
  • Ability to prioritize work and adapt to changing assignments.
  • Self-motivated.

Pay

Base pay range: $18.81 - $23.51 per hour. Individual offers are determined based on relevant experience, certifications, education, skills, and internal equity.
